This position is located at the Smithsonian Institution, Smithsonian Facilities (SF). SF is responsible for operating, maintaining and securing the Smithsonian's physical infrastructure that comprises over 600 building, museums and galleries, research centers and National Zoological Park; fire protection services, safety, health, and environmental services. The position carries out administrative functions related to managing this high-functioning executive office.

Manages the Director and Deputy Director's calendars; schedules, confirms, and adjusts meeting times as needed. Reserves and sets up conference rooms for events. Serves as time keeper ensuring time and attendance (T&A) reports are validated and certified in the Web-TA systems. Enters, reviews, and reconciles travel authorizations, vouchers, and receipts in the travel system.
Creates and updates documents, correspondence, PowePoint presentations, and briefings as assigned using Microsoft Office Applications (MS Word, Excel, Outlook and PowerPoint)
Receives and responds to all inquiries on the phone, in person or via email in a timely manner.
Analyze reports, spreadsheets, tables, charts, PowerPoint presentations, etc. as well as routine correspondence.

Qualification requirements, including one year time-in-grade at the next lower grade level for promotion candidates, must be met within 30 days of the job announcement closing date.
Experience: Applicant must have one year of specialized experience equivalent to at least the GS-7 grade level in the Federal service. Specialized experience is defined as experience managing management's calendar, schedules, and meetings times; reserving and sets up conference rooms for events, researching special projects/assignments and providing the desired information in either written or oral format to the team leader, and gathering necessary supporting data to management or team leaders for improvement.
Have a master's or equivalent grade degree;
Have two (2) full years of progressively higher level graduate education leading to such a degree;
LL.B or J.D., if related;
Have a combination of graduate level education and specialized experience (as described above), which is equivalent to the GS-07 level in the Federal Service. This experience and education together meets 100% of the qualification requirements for this position.
