We are seeking a high-energy person who enjoys working in a fast-paced science environment. This position will provide direct high-level administrative support to a Senior Staff Scientist, a Staff Scientist and a Principal Scientist and their key scientific staff, within the Cancer Immunology (CI) department.
In this role, you will contribute to organizational and administrative goals to ensure the smooth daily operation of the supported scientists' groups and the CI department, including coordination of meetings on site and off site, travel, and visits by external seminar speakers. You will also interface with one other Management Associate who supports the head of the CI department and with other administrative staff within the gRED Research organization.
In this role you will be responsible for the following range of administrative activities:
General office responsibilities include:
Calendar: Proactively manage calendars of the key supported individuals and scheduling of internal and external standing and non-regular meetings to ensure effective and efficient use of time.
Travel: Coordinate and schedule travel (U.S. and International), accommodations and other requirements as needed. Make airline, hotel and transportation arrangements, prepare travel itineraries and travel informational packets.
Expense Reports: Help supported scientists in compiling, completing and processing expense reports.
Visitors/Consultants: Coordinate and arrange for invited guest scientific speakers/consultants from the U.S. and Europe, including all scheduling, travel arrangements, expense report processing and honorariums as appropriate. Determine if a visitor is a Health Care Provider and process any additional paperwork through the Health Care Provider or International Health Care Provider system.
Meeting Planning and Off-sites: Help coordinate and schedule departmental off-sites, team meetings, and other larger-scale meetings or events; may attend these meetings to provide onsite support.
Contracts/Purchase Orders: Supports key scientific staff in external vendor contracting, purchase order set-up, review and processing of invoices as well as other vendor communication.
Works independently under general supervision and is self-motivated. Has outstanding organizational skills, including the ability to manage several tasks concurrently. Able to anticipate impact on other areas and to address problems by developing practical, thorough, and creative solutions without necessarily relying on supervisory review.

Able to handle routine and impromptu assignments with minimal or no supervision. Create a pleasant work environment for supported staff by adding decorative touches during holidays and helping to coordinate small festivities to celebrate employee work milestones, team achievements and the like.
Who You Are
Minimum 6 years administrative experience in a management/executive environment. BS/BA degree and/or equivalent experience or training preferred.
Microsoft Office Suite important. Must be proficient with Google email, Calendar and other app platforms.
Strong skills in oral and written communication, effective use of persuasion and influence by reason.
Ability to handle interpersonal interactions at all levels and manage highly sensitive interpersonal information/situations.
Ability to work effectively as a team player with a diverse group of people including senior staff and administrative colleagues.
Pharmaceutical industry/Research environment experience a plus.
Ability to be present and respond to requests or assignments during core business hours of 8:30 am 5:00 pm, 5 days a week.
Work well in a team environment as well as independently; have strong follow-up skills and the ability to manage multiple projects or unexpected requests simultaneously and with minimal supervision, while maintaining a pleasant working demeanor.
