Responsibilities

You will perform a combination of routine, multiple and varying assignments under the limited direction of the Office Manager and Front Line Management team. Assists Office Manager, Front Line Management Team and the Administrative Officer in day-to-day operations and may act as a lead for other support staff to coordinate multiple assignments for the Office. Work activities typically support multiple projects/programs and contribute to the objectives of the organizational unit. In addition, the incumbent is fully trained in Administrative Officer (AO) work functions and performs those duties when the AO is absent.

Typical duties will include but are not limited to:

  • Receives visitors and callers. Ascertains the nature of the visit/call and directs the individual to the appropriate office/team.

  • Serve as the time and attendance focal point for the office. Verifies time and attendance information and reports discrepancies to manager.

  • Prepares various reports. Composes and types routine correspondence such as letters and memorandums for leadership-level. Reviews leadership-level outgoing correspondence for grammatical and procedural accuracy.

  • Ensures travel documents are prepared accurately and comply with regulatory guidelines.

  • Analyzes office procurement requirements for supplies, equipment and services. Coordinates and prepares appropriate procurement requests utilizing various system applications.

  • Serves as Funds Certifier and enters transaction into financial reconciliation system for travel and/or government purchase card and procurement actions.

  • Serves as office program coordinator for inspector credentials and Security Identification Display Area (SIDA) badges.

  • Reviews current office policies and procedures and recommends improvements. Keeps staff current of procedural changes.

  • May assist and/or become the focal point in a variety of administrative programs such as the government motor vehicle program, property accountability, office-training program, records management, emergency management fiscal budget and personnel program at the direction of management.

  • Performs other duties as assigned.

Qualifications

To qualify for this position, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-D, FG/GS3-6 in the Federal Service. Specialized experience is experience that has equipped you with the particular knowledge, skills and abilities to perform successfully the duties of the position. Specialized experience may include but is not limited to using various office automation software systems/programs to create letters/memos, reports, spreadsheets; experience in performing a wide variety of administrative functions to include records keeping, travel administration, time and attendance management, organizing and managing files and records; scheduling meetings, and other administrative functions in support of an office.
