JOB SUMMARY
Supports the fire department through administrative program management, strategic, analytical, and technical duties; exercises sound discretion and independent judgment with respect to matters of significance within the fire department; coordinates the fire departments administrative, accreditation, and City emergency management programs; conducts system evaluations for program optimization, prepares and presents special reports to various groups internally and externally; and a trusted member of the fire departments executive team.
ESSENTIAL JOB DUTIES & RESPONSIBILITIES
The position's primary duty is the performance of office or non-manual work directly related to the management of the fire department, including but not limited to:
Provides a wide variety of professional support and functions as a trusted advisor to the fire chief and department command staff with emphasis surrounding the department's mission, vision, outreach, and projects.
Coordinates department operations and activities within an assigned programmatic area(s) fire accreditation, emergency management, and grants; participates in the development and implementation of goals, objectives, policies, procedures, and priorities; identifies resource needs; meets with managerial staff regularly to discuss plans and progress towards goals and objectives of the department.
Conducts a variety of departmental and City studies and analyses; prepares and presents related reports, documentation, and correspondence.
Develops proofs of compliance for accreditation standards, prepare written documentation and reports, maintain databases, coordinates on-site assessments and inspections, track the submission of required administrative reports, and works closely with staff on policy review.
Develops and presents information to both internal and external groups associated with accreditation, emergency management, and other key performance indicators.
Serves as a liaison between intra/inter agency personnel, and between the department and accreditation bodies.
Oversees selected grant processes administration including research, writing, monitoring, and reporting.
Researches and analyzes various organizational datasets for more efficient and effective services; calculates mathematical and statistical data; reviews historical information, and reports.
Assists staff in the preparation and trending of the annual budget.
Performs queries with databases and records management systems to perform data analysis as necessary.
Participates in regular conferences with the Chief and command staff on planning, data analysis, accreditation, and other related matters.
Coordinates and completes departmental administrative, financial, and human resource processes, purchase orders, maintains the department records management system, personnel, and training records.
Attends related training, meetings, and conferences which may require overnight travel.
Responds to requests for information from other entities and the public.
Conducts surveys regarding department activities, programs, and policies.
Assists with general office duties, answer telephones, greet visitors, fulfill requests for information, direct telephone calls and messages to appropriate personnel; assist with customer inquiries.
Interacts and collaborates with staff on special events; projects that may occur during or after normal business hours.
Performs all other duties as assigned.
REQUIRED EXPERIENCE, EDUCATION AND/OR CERTIFICATIONS
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be with:
Three years increasingly responsible experience in public administration, business, public health, supply chain management, epidemiology, or another related field.
A bachelor's degree from an accredited college or university with major coursework in business, supply chain, public health, marketing, computer science, human resources, public administration, or a related field. A master's degree is preferred.
Excellent communication skills in written and verbal form with a strong focus on interdepartmental communication and demonstrated history of public speaking/presentations.
Proven experience organizing and coordinating multiple teams.
Proven success in a project coordination role.
Experience with data analysis. Manipulating datasets and creating visualizations using Excel.
Experience with geospatial data.
Experience with budget management.
Experienced in developing creative solutions to unique and complex problems.
Qualifications
Ability to demonstrate a high degree of organization, accuracy, and detail orientation.
Ability to operate under stress to complete time-based reports.
Ability to pursue administrative training, achieve and maintain professional credentials tied to fire department accreditation and emergency management.
Ability to establish and maintain cooperative working relationships with those contacted in the course of work including emergency service personnel, City staff, government officials, community groups, the public, and media representatives.
Possession of, or ability to obtain valid driver's license.
