Job Description:

Reporting to Associate Director (AD) GxP Facility Operations or designee, the GxP Planner/Scheduler will be responsible for maintaining a robust, audit ready Planning and Scheduling Program for Vertex GMP facilities, equipment and analytical instrumentation. The GxP Planner/Scheduler (P/S) is responsible for the planning and scheduling of Preventive and Corrective Maintenance for all GMP equipment, instrument calibration and analytical instrumentation maintenance and qualification activities. This position's responsibility includes the documentation associated with equipment/instrument planned and unplanned interventions throughout its entire life cycle from installation through decommissioning with strict adherence to applicable written procedures. The GxP P/S will maintain the traceability and accuracy of all activities utilizing a validated CMMS. The GxP P/S will maintain the site's physical spare parts inventory using the CMMS, establishing min/max levels and proper procurement, receipt, storage and issuance of items per written procedure. This position is the principal contact and liaison between GxP Facility Operations and all other stakeholders. In this capacity, the GxP P/S will build and maintain strong relationships and ensure that our value-added services are executed and properly documented in a timely, efficient and compliant way with focus on stakeholder satisfaction.

GENERAL RESPONSIBILITIES AND REQUIRED SKILLS

  • Prioritize corrective and preventive maintenance work orders to be planned and scheduled

  • Apply technical and maintenance experience to identify the scope and plan for maintenance activities given available resources, criticality of work, and available maintenance windows

  • Manage work order backlog

  • Identify trades or skills, materials, tools or equipment and time required to perform the work to minimize equipment down time and maximize technician wrench time

  • Create PM forecasts and communicate with end users to effectively schedule required maintenance activities while minimizing impact to operations

  • Provide factual data required for and the reporting of maintenance Key Performance Indicators (KPIs) and Quality System metrics

  • Coordinate activities and schedules related to the use of service vendors

  • Obtain quotations, submission of purchase requisitions for goods and services related to facility and maintenance activities, as well as maintain the site's spare parts inventory and budgetary tracking of those items

  • Review/ approve documentation to ensure accurate, concise documentation is submitted which meets all requirements of GMP's and internal SOP's

  • Keep program current with regulatory expectations for Oral Solid Dose development and clinical and commercial manufacturing

  • Shipping, receiving and inventory of Vertex GxP spare parts and equipment

  • Perform CMMS Administrative tasks related to parts issuance and inventory

  • Maintain integrity of the stock room which includes creating new item masters, recording issues and receipts, performing cycle counts and general housekeeping to keep the storeroom materials in order

  • Other reporting structure, tasks and accountabilities as may be assigned by management during execution of these responsibilities

KEY RESPONSIBILITIES:

Specific responsibilities include:

  • Non-system generated work order approval and review for closure

  • Maintenance assessment for site change controls

  • Financial budget tracking for areas of responsibility

  • Maintain integrity of the stock room which includes creating new item masters, recording issues and receipts, performing cycle counts and general housekeeping to keep the storeroom materials in order

  • Identify and assign required parts to preventive maintenance activities

  • Other duties as shall be directed by the AD of GxP Operations

Minimum Qualifications

  • Minimum 7- 10 years of equipment maintenance experience within a regulated industry

  • Strong analytical skills with knowledge of data analysis tools and reporting

  • Knowledge of Lean principles

  • Computer skills including knowledge of Microsoft Office products

  • Bachelor's Degree in Engineering or Facility Management or equivalent experience

  • Present an energetic, positive, "can do" attitude

  • Advanced knowledge of CMMS and spare parts management

Responsible for vetting service requests and assigning corrective work orders to the appropriate units / technicians. Essential Tasks of the Job Responsibilities: Responsible for initial screening of incoming work orders Monitors attendance and daily operations, requisitions needed supplies, delegates' schedules. Writes clear and concise work procedures. Delivers work orders to skilled trades in conjunction with weekly work schedules. Keeps job plan materials and spare parts lists current. Responsible for equipment and repair parts data entry and management. Responsible for closing all work orders and maintenance log items when work is finished. Participates in airport outage activities such as scheduling and work coordination. Compiles and delivers reports from the Computerized Maintenance Management System (CMMS) regarding the work execution process. Responsible for initial scheduling of work orders, identification of scheduled dues dates, and analysis of required tagging. Conducts system checks to identify backlog work orders that are waiting for parts/tools/materials or needs to be schedule due to priority. Incorporates aspects of the existing company safety policy into the work order. Utilizes the estimated required hours on a job plan to apply to the schedule. Includes QA/QC requirements on work orders. Ensures all necessary engineering or technical documents, specifications, and drawings are included on work orders Coordinates the ordering and delivery of parts required for the technicians to perform required work in a timely manner. Coordinates priority setting with the management team – places specific emphasis on obtaining the input of operations personnel in the setting of priorities.
