JOB SUMMARY

The position involves basic clerical functions including the sorting, processing and delivery of mail. Work involves providing customer service for the community and in-house staff; collecting documents and payments for departmental programs; processing various printing, mailing and copying requests; performing general office support functions such as filing; and operating common office equipment in fulfilling clerical tasks. Work is limited in variety, discretion and is controlled by established work methods and procedures.

ESSENTIAL JOB FUNCTIONS

  • Performs general clerical work including but not limited to the answering of phones, greeting and assisting walk-in customers, distribution of mail, and general data entry tasks.

  • Provides internal and external customer service via phone, email and in person; responds to inquiries, takes messages, and refers inquiries to the most appropriate parties when appropriate.

  • Keeps appointment calendars and schedules appointments for staff and the general public seeking services.

  • Uses computers and word processing software to process letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders and related paperwork.

  • Assists in sending out billings and other mass mailings.

  • Prepares and completes forms and composes letters.

  • Sets up and maintains specialized paper and electronic office files.

  • Files letters, reports and related technical information in the prescribed manner.

  • Picks up, loads, and transports mail from the post office to the mailroom daily.

  • Lifts and carries heavy supplies, packages and mail.

  • Sorts and processes mail into separate departments.

  • Prepares, loads and delivers mail to various departments and outside locations.

  • Sorts and processes morning outbound mail through the mail machine.

  • Pulls inventory stock from storeroom and delivers office supplies, printing and paper supplies to outside locations.

  • Picks up outbound mail, packages, or boxes that need to come to General Services.

  • Operates neopost machine to fold and insert mail as needed.

  • Prepares outgoing mail and post office mailing forms for delivery to the post office.

  • Reviews and processes daily print requests using envelopes, carbonless paper, standard paper, card stock, and Kromekote paper of various sizes and weights; each job is proofed and verified with supervisor prior to printing.

  • Retypes, formats, generates, and typesets the print master when necessary.

  • Utilizes a drill press, electric laser cutter, business card cutter, folder, folder inserter, collator, numbering machine, binding machinery, paper jogger, and glue adhesives to prep paper as necessary in the printing process.

  • Prepares and packages finished printing for delivery to outside departments.

  • Restocks printing inventory and prepares recycled printer cartridges for shipment.

  • Troubleshoots and solves machinery problems independently.

  • Cleans and maintains machinery and facility with bleach water on a daily basis.

  • Transports county car to Fleet for service.

  • Posts information throughout County as directed.

  • Performs work at assigned location during specified business hours.

  • Performs related additional duties as required and assigned.

QUALIFICATIONS

Education and Experience:

  • High School Diploma or equivalent;

  • One (1) year of related experience;

  • Or equivalent combination of education and experience.

Licenses or Certifications:

  • Must possess a valid State Driver's License (General Services Only)

Special Requirements:

  • Many situations will require early morning or late evening hours.

Knowledge, Skills and Abilities:

  • Knowledge of office practices and procedures.

  • Knowledge of grammar, spelling and alphanumeric sequencing.

  • Knowledge of postal regulations.

  • Knowledge of Microsoft Office and Publisher.

  • Ability to create and maintain files and records.

  • Ability to work independently with minimal supervision.

  • Ability to interface effectively with office personnel working in a team environment.

  • Ability to add and subtract, multiply and divide.

  • Ability to use functional reasoning and apply rational judgment in performing diversified work activities.

  • Ability to exercise judgment, decisiveness, and creativity in situations involving a variety of general pre-defined duties which may be subject to frequent change.

  • Ability to follow both oral and written directions.

  • Ability to operate commonly used manual and automated office equipment.

  • Ability to effectively communicate with elected officials, department heads and other county employees.

PHYSICAL DEMANDS

The work is light and requires exerting up to 20 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The work also requires mental and visual acuity, speaking, balancing, climbing, crawling, crouching, feeling; picking, pinching, typing, or otherwise working primarily with fingers rather than with the whole hand; grasping; picking, holding or otherwise working with the whole hand; hearing, kneeling, pulling, pushing, reaching, repetitive motion, standing, stooping, talking, and walking.

WORK ENVIRONMENT

The work is performed primarily indoors in a safe and secure environment with some tasks such as the delivery of mail or supplies being performed outdoors in inclement weather with temperatures that may reach above 95 degrees F and below 10 degrees F. Work also may be performed near loud annoying noises and may involve exposure to noxious air, odor, and toxic substances as well as uneven and slippery surfaces where there is a risk of injury.
