Overview

ExamWorks is seeking a Mail Document Processor for our Woodbury, NY office.

The Mail Document Processor is responsible for preparing incoming and outgoing mail with finesse! You will use hand or mail handling machines to time stamp, open, read, sort, and scan incoming mail; and address, seal, stamp, fold, stuff, and affix postage to outgoing mail or packages.

This role is a full time position.

The pay rate for the position is $24.04/hr.

Responsibilities

  • Responsible for processing and mailing/shipping company documents for several business units to include:

  • Organize and sort the outgoing mail

  • Package and process outgoing UPS/FEDEX shipments

  • Prepare mailings for pick up end of each day

  • Responsible for operating mailing system (inserter and postage machine) to include:

  • Load the letter inserter for production and ensure all jobs are successful

  • Run the completed mail through postage machine

  • Run certified mail through the postage machine

  • Performs clerical duties such as typing, filing, emailing, document scanning, document uploading to web portals and faxing as needed.

  • Promotes effective and efficient utilization of resources and supplies.

  • Protects examinee rights by maintaining confidentiality of personal and financial information at all times and in accordance with HIPAA regulations.

  • Perform other duties as assigned.

Qualifications

QUALIFICATIONS

  • Must possess knowledge of general computer, fax, copier, scanner, and telephone

  • Must be knowledgeable of multiple software programs, including but not limited to Microsoft Word, Outlook, Adobe, Excel, and Internet browsers.

  • Must have a full understanding of HIPPA regulations and compliance.

  • Ability to follow instructions and respond to managements' directions accurately.

  • Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.

  • Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.

  • Must be able to work independently, prioritize work activities and use time efficiently.

  • Must be able to maintain confidentiality.

  • Must be able to demonstrate and promote a positive team -oriented environment.

  • Must be able to stay focused and concentrate under normal or heavy distractions.

  • Must be able to work well under pressure and or stressful conditions.

  • Must possess the ability to manage change, delays, or unexpected events appropriately.

  • Demonstrates reliability and abides by the company attendance policy.

  • Must maintain a professional and clean appearance at all times consistent with company standards.

LANGUAGE SKILLS

  • Ability to read, analyze and interpret common correspondence, medical records and legal documents

  • Ability to write clearly and informatively and edit own work for appropriate spelling and grammar

  • Ability to respond appropriately and professionally to common inquiries or complaints from customers, physicians, management, and/or members of the business community.

This position generally consists of:

  • Standing 5-7 hours per day

  • Sitting for brief periods

  • Occasionally lifting and/or carrying up to 20 lbs.

  • Occasionally pushing/pulling up to 20 lbs.

  • Occasionally required to walk multiple flights of stairs.

  • Occasionally subject to bending, squatting or twisting.
