MAIL AND PRINT MANAGER
DEPARTMENT: Information Technologies
CLASSIFICATION: Full-Time, Non-Exempt
PURPOSE OF POSITION
The Mail and Print Manager provides operation and customer service in the Mail and Print Center where Printing services include printing, copying and finishing. Mail services include pricing, shipping and receiving for various carriers.

DECISION MAKING RESPONSIBILITIES
Proactively identify and meet the needs of the immediate customer as well as the entire university. Position is a primary decision-maker related to the center while staying current with the industry and best practices.
WORKING RELATIONSHIPS
Reports to the Director of IT. Manages all aspects of student employees with the center. Creates and maintains good working relations with Evangel University employees, students and vendors.
PRIMARY JOB FUNCTIONS
Performs or directs the following core activities:
PRINT SERVICES
Provides excellent customer service experience at the pickup counter
Process print requests; includes print setup, layout, print settings, print finishing (punching, laminating, cutting, coil binding, folding, etc.)
Responsible for advertising and educating the campus of services provided
Maintains and creates documentation of policies and procedures
Keep an inventory of paper and supplies
Collaborate with Marketing and other departments on print projects
Develop and maintain business partnerships with vendors
Operate professional grade multi-function printer with Fiery Command Workstation; includes building print presets, exporting job logs and managing Fiery server and software
MAIL SERVICES
Opens the Mail & Print Center and makes sure cash drawer and Square Register is setup and operational
Ready iPads with QTrak for package routing and pickup
Receives and sends packages and mail with various shippers (USPS, UPS, FedEx, DHL)
Processes mail and packages (sorting, routing)
MAIL & PRINT SERVICES MANAGEMENT
Responsible for hiring, scheduling, training and developing student workers and evaluations for HR
Runs Square Reports and manage cash deposits
Manages accounts with FedEx, USPS and other carriers
Ensures optimal performance by properly managing the center's inventory and machines
Collaborates with University Departments for bulk mailings and postage due
Runs mail reports and handles department chargebacks
Records- keeping and reporting for all accounts
Collaborates with business partners in acquiring mail room equipment and technology
Updates forwarding, billing and home address for current students and alumni while maintaining data integrity
Processes invoices
Prepares Check requisitions for postal accounts
Stays current on related federal regulations and carrier processes
Runs all reporting required by the university, vendors and mail carriers
FISCAL MANAGEMENT
Collect quotes for hardware, software and vendors. Monitors labor costs, invoices and expenses related to the center and ensure the propriety of all charges. Handles billing and associated reporting for staff, departments and students.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Bachelor's Degree or equivalent work experience
1+ year of experience in a print service environment
Class E driver's license (required for operation of campus vehicles)
Mailroom or shipping and receiving experience is a plus
Supervisory experience is a plus
Demonstrated ability to use the Microsoft Office Suite
Stable work history
Demonstrated ability to perform the functions noted above in job description
Strong verbal and written communication skills
Ability to work with a diverse workforce
WORKING CONDITIONS
Brief exposure to various weather conditions. Occasional lifting and carrying of heavy packages (50+ pounds). Driving the campus mail van.
EMPLOYMENT STATUS
The status for full-time Mail & Print employees is non-essential with the two exceptions below:
They work regular hours when the university closes due to inclement weather (e.g., snow days) to continue services to students and receive mail from vendors
They schedule a workday in late December with Business & Finance and University Advancement to help conduct end-of-year business. This workday becomes a floating holiday.
