Position Reports to: Director of Logistics

Position Summary:
Under general supervision, solicits freight from logistics customers to move nationwide; handles all processes for moving a brokered load from pick-up to delivery; and works with other departments as needed in order to provide complete service to customers.

Essential Functions:
1.Serves as broker to carriers and customers in order to meet expectations of both parties; maintains flow of communication between drivers, West Side and customers; and works to resolve issues that come up during transit to ensure each load is delivered on-time and in the condition it was intended to be.
2.Processes loads from the time of receipt from customer to the time of delivery; enters and updates necessary, load information into computer system at time of receipt from customer to keep records accurate; updates all load postings through DAT, ITS, and GETLOADED.COM websites.
3.Monitors West Side rate charges through Director of Logistics in order to move shipments at the profitability level required; informs interested customers of rate charges as requested; and determines carrier rates by load basis in order to maintain profit levels.
4.Works with Customer Service Department to move excess West Side Transport loads.
5.Maintains updated carrier information in computer system.
6.May be requested to prospect areas for new logistics customers.
7.Performs other related duties as requested.

Necessary Qualifications:
One-year experience required in Logistics/Customer Service in the transportation industry or related field; AS/400 experience preferred; ability to type 40 w.p.m. preferred; excellent customer service and communication skills required.

Physical Qualifications:
Sitting, talking on the phone and entering data into the computer for extended periods of time required.

Mental Qualifications:
Requires ability to analyze data, coordinate multiple tasks, process information quickly and accurately, recall details and carryout responsibilities based on those details.

About the Job The INDOT Crawfordsville District is seeking a Seasonal Customer Service Assistant (Seasonal State Worker) to assist with communications and receptionist duties. The Customer Service Assistant serves as the District Receptionist and as the Communications Assistant. This position is responsible for front desk receptionist duties and assisting with customer inquiries and data entry. This can include written, verbal, and in-person communications to answer inquiries from the general public and elected officials in a timely manner communicating the agency message. Reports to and is accountable to the Customer Service Coordinator and Communications Director, and will work with the Customer Service Center in Central Office. A Day in the Life * Serve as first point of contact for all customer service inquiries, i.e. Customer Service Center, Traffic Management Center, and other local municipalities. * Answer customers telephone calls and inquiries. * Accurately enter data into statewide database and District-managed database, generate reports and manage the office filing system. * Provide clerical support for Communications staff that can include sorting/delivering mail, typing letters, developing mailing lists/labels, processing inquiries and various reports. * Assist Communications Director and Customer Service Coordinator in answering customer inquiries from the general public and elected officials. This can include investigating the concern, recommending ideas for resolution, drafting responses, contacting the customer with the appropriate information, and documenting all correspondence. * Assist communications department with a range of internal and external messages and projects that can include proactive outreach efforts among various audiences and statewide initiatives. * Interact with all district departments to proactively handle potential customer issues, and possibly reduce future complaints. * Analyze invoices and other related accounting documents to determine the accuracy and validity of expenditures and contact vendors to resolve discrepancies. * Perform other related duties as assigned. What We're Looking For * Excellent interpersonal skills. * High School graduate or equivalent preferred. Associates degree in business or related field or two years' experience of administrative experience preferred. * Working knowledge of Intranet Quorum (IQ) database for entering records of customer inquiries. * Ability to use multi-line telephone system. * Ability to understand, spell and use good grammar. * Ability to prioritize and understand INDOT departmental work processes and procedures in order to ensure our customers are satisfied. * Basic knowledge of the agency's programs, practices, policies, procedures, objectives and goals of the communications sector. * Basic knowledge of public relations. * Ability to gather, collate and classify information about data, people or things; define problems, collect data, establish facts and draw valid conclusions; write letters, papers and reports; handle sensitive and face to face inquiries and contacts with general public. * Considerable computer skills with Microsoft Office Software required. * Basic knowledge of PeopleSoft software preferred. * Ability to maintain confidentiality.
