Job Description:

As the Logistics Administration Coordinator, you will be responsible for providing administrative and clerical support for the Midwest Distribution Center. Duties are complex in nature and involve access to confidential information and include, but are not limited to: composing correspondence, reports, spreadsheets, and other documents and reports; maintaining attendance logs; upkeep of colleague files; payroll needs; incentive reports; managing 3rd party employee list; flexibility and willingness to perform other related duties as assigned.

Required Qualifications

  • 1+ years of Administrative Assistant experience required
  • 1+ years of Microsoft Office experience required

Preferred Qualifications

  • 3+ years as an Administrative Assistant preferred

  • Previous accounting experience preferred

  • Previous payroll experience preferred

  • Previous Distribution Center experience preferred

  • Associate's degree preferred

  • Ability to lift 30 pounds


Verifiable High School diploma or GED is required.

This position provides a full range of technical leadership, collaboratively working in specific functional areas; managing requests for support through resolution, vendor relations, leading technology training, assisting in business system and process development, assisting with system setup and administration, and project facilitation. Responsibilities Job Summary * Must support the mission of the YMCA of Greater Kansas City and promote the character development values Caring, Honesty, Respect, and Responsibility. * Will work with the Sr. Vice President to examine business systems and processes, assist with developing solutions and system set up. * Assist with Software Implementations * Leads developing processes by testing, auditing, and documenting our business systems processes. * Will work directly with associates from finance, administration, operations and Head Start to ensure technology initiatives are met for the Association. * Provides tier I and tier II support for ACTIVE Net. * Manage support requests from creation to resolution. * Will work as a member of the technology team to support the Information Security Policy of the YMCA of Greater Kansas City. * Ensures program table file entry and ensure accuracy of table files currently in system. * Assist with system set up and maintenance. * Assist as a member of the technology team to complete association wide technology initiatives and software implementations and to maintain PCI compliance. * Assist in developing long-term strategies and capacity planning for meeting future technology needs. * May serve as support to the National YMCA Technology Affinity group Essential Functions (all areas may not apply to all associates in this position) * Information Security Training * Work with the Sr. Vice President of Technology to lead and develop training relating to the Information Security program. * Develop and implement core trainings for technology systems. * Oversee ACTIVE certification process. * Project Facilitation * Manage projects through tracking and communication with stakeholders. Includes the development and management of project plans, status updates and team communications. * Serve as the department's liaison with third party data and telecom vendors to solicit new services and manage the installation of service from initiation to completion. * May Perform quality control for Association wide billing for data, phone and copiers. Will serve as YMCA liaison to the vendors in the event of a billing issue. * Assists with budget preparation and annual monitoring for department. * Systems Management * Provide tier I and II systems support. * Leads developing processes by testing, auditing, and documenting our business systems processes. * Ensures program table file entry and ensure accuracy of table files currently in system. QualificationsMinimum Qualifications * Bachelor's degree from an accredited college or university or the equivalent experience in a technology or administration field. * Five years experience in help desk, customer service or technical field preferred. * Experience with training development and delivery. * Demonstrated ability to analyze and resolve complex issues. * Detail oriented with good organizational skills and multi-task proficient. * Proficient in Microsoft Office Products * Ability to work a flexible schedule. * Ability to relate and work with diverse groups of people in a friendly and consistent manner. * Knowledge of Information Security preferred.
