Job Summary: The Loan Operations Representative I is responsible for assisting with the administrative support aspects of Loan Operations to provide high quality service support for Loan Officers/Branch Support personnel and their customers in an efficient and effective manner which is in compliance with all applicable laws and regulations.

Listing of Key Responsibilities:

  • Assists, as assigned, with the administrative support aspects of loan operations including documentation preparation and input, servicing, accounting and review.

  • Provides consistently the highest quality of internal customer service possible to the Loan Officers/Branch Support staff (internal customers).

  • Ensures that information entered into the Loan System is accurate, complete and punctual.

  • Assists branch loan personnel (internal customers) and sometimes external loan customers with inquiries pertaining to loan related issues.

  • Performs job responsibilities with an understanding of the importance of and in compliance with applicable Bank policies, procedures and processes, as well as applicable external laws and regulations.

  • Follows all dual control procedures required to maintain internal controls in performing assigned duties particularly as it relates to the booking of loans by one staff member being checked by another staff member.

  • Receives and works with daily new, renewed and paid loan reports.

  • Assists with preparation of tracking reports to reflect documents needed to complete a given loan file and follows up with branches to ensure that the tracking report is being worked.

  • Helps coordinate any outside vendor servicing for loan support.

  • Assists with completion of charge off and recovery processing when directed in a timely and accurate manner.

  • Performs reconciliations of assigned general ledger accounts and checks reconciliations performed by other personnel as assigned.

  • Assists loan customers with payment, billing and payoff questions.

  • Assists with the release of paid out loans on a timely and accurate basis.

  • Assists with responding on a timely and accurate basis to all credit reference requests and all credit disputes as they are received by the Bank.

  • Scans loan documents.

  • Checks back new loans.

  • Performs other duties as assigned

Qualifications

Education Required: HS Degree or equivalent required.

Experience Required: 5+ years administrative/operational support experience. Having this experience in direct and indirect customer support on the loan side of a Bank is preferred.

Knowledge and Skills Required: Solid knowledge of lending principles and concepts and ability to work accurately and timely with numbers, as well as various types of loans offered by the Bank and how they should be documented under the loan policy and all regulatory compliance requirements associated with job responsibilities; Solid ability to use the Bank's loan operations system and adapting to any changes to same; Solid knowledge of banking systems, and applicable technologies, as well as all regulatory compliance requirements associated with job responsibilities; Solid ability to use the Bank's loan operations system and adapt to any changes to same; Solid people interaction, organization, administrative, time management, multitasking and both verbal; and written communication skills; Solid customer service skills to support the efforts of Branch Loan Administrative Assistants (internal customers who are supporting Loan Officers and serving external loan customers); and Solid P/C skills for communication and data entry purposes, as well as ten-key and other office equipment skills.

Key Business Relationships: Interacts internally with the Loan and Deposit Operations Manager, Deposit Operations Manager, other staff of the Loan and Deposit Operations Department, Senior Managers and deposit support employees in the branches (internal customers). May interact externally with customers, Federal Reserve and vendors.

Also, such information never should be released to a third party without the specific authorization of a Senior Manager.
