Loan Operations Administrator III
Job Description
Title: Loan Operations Administrator III
Department(s): Loan Operations
Reports to: SVP Loan Operations
Job Summary: Provide operational support to Loan Operations. Ensure all new loans and Change in Terms are booked timely and accurately, and provide general support to loan servicing/operations.
Essential Job Functions
Books new loans, renewals, extensions and change in terms to the Bank's core system timely and in compliance with the department's SOX requirements. Ensures critical codes and data such as product, purpose, call, risk rate, interest/index/floor rate, rate rounding, payment schedule and collateral are entered timely and accurately, and that Sageworks workflow is updated in a timely manner. Ensures that all new loans, renewals, extensions, and change in terms settled and funded on the last business day of each month are booked to the Bank's core system before the end of that business day.
Accurately creates related collateral and financial ticklers in the Bank's Tickler application, Sageworks, and completes related Sageworks workflow.
Provides excellent customer service in accordance with the Bank's vision.
Converts construction loans to stabilized (permanent phase), non-stabilized and held for sale categories, prior to end of month. Processes other file maintenance functions such as Risk Rate (RR) and Borrowing Base Certificate (BBC) updates.
Files UCC Continuations timely with the Bank's third-party vendor and ensures the Bank's core system is updated for ongoing monitoring.
Flags loans as FHLB/FRB eligible, CRA/CD, HMDA/1071 timely and accurately.
Scans new loan files, loan maintenance documents and other loan documents appropriately to M-Files, and in a timely manner.
Removes paid off loans from the Tax and Flood monitoring services.
Assists the Loan Servicing Team with maintaining a current status with processing daily requests such as loan advances, payments, payoff transactions and payoff statements. Processes SOFI, BOA and other incoming remittance transactions.
Assists with audit and examination processes for Loan Operations and Loan Servicing areas.
Assists with ensuring departmental processes and procedures are kept current, effective and efficient. Makes suggestions for improvement.
Other duties as assigned.
Job Requirements
3 - 5 years of direct work experience in bank loan operations.
Knowledgeable in Bank regulations and knowledge and experience in SOX controlled environment.
Knowledge of FIS Horizon XE and Sageworks preferred, Microsoft Word and Excel, and adaptability to other software programs.
Ability to work well independently and collaboratively with Teams and interact effectively with all levels of Bank personnel and outside contacts.
Ability to multi-task and handle shifting priorities.
Detail-oriented with excellent organizational skills.
Ability to write and communicate in a clear, concise, courteous, and professional manner.
