Job Summary: The Loan Administration Assistant I is responsible for providing administrative support to the County President, Commercial Loan Officers and Private Banking Officers, as assigned, in all phases of lending with the objective of completing accurate and timely documentation packages, maintaining efficient customer records and providing high quality service for Commercial, Business and Private Banking customers

Listing of Key Responsibilities:

  • Gathers all documentation for loan closing, and coordinates same with customer, Loan Officer and attorney, if applicable.

  • Performs job responsibilities with an understanding of the importance of and in compliance with applicable Bank policies, procedures and processes, as well as applicable external laws and regulations.

  • Follows all dual control procedures required to maintain internal controls in performing assigned duties.

  • Scans all information so that it is available to Loan Operations.

  • Works tracking report to obtain all required information and emails Loan Operations to update tracking.

  • When notified by Loan Operations, prints all loan documents and ensures that they all are properly signed at closing.

  • Scans signed loan documents to image center.

  • Disburses loan funds.

  • Files all County Office loan documentation promptly and correctly in credit files that are maintained in accordance with the standardized or common approach approved by Senior Management.

  • Performs general administrative support duties for County President and assigned Loan Officers.

  • Performs other duties as assigned

Education Required: HS Degree or equivalent. Formal training in administrative support, office software and time management is preferred.

Experience Required: 6+ years of administrative support or equivalent experience with at least 3 years in an administrative role directly supporting bank lenders. Entire experience in a commercial/retail banking environment is preferred.

Job Title: Loan Administration Assistant I

Knowledge and Skills Required: Solid communications (telephone and in-person), customer servicing, multi-tasking, time management, letter/memo composition, organizational, and keyboard skills. Solid ability to quickly resolve problems and maintain confidentiality. Solid P/C skills including Word, Excel, PowerPoint, or equivalent software. Solid ability to quickly learn the Banks chosen software support systems.

Key Business Relationships: Interacts internally with City President, Branch Manager and Other Branch Staff, Loan Officers, Loan and Deposit Operations Staff and Credit Analysts. Interacts externally with current and prospective Bank customers.

Also, such information never should be released to a third party without the specific authorization of a Senior Manager.
