The paralegal will be responsible for supporting five busy attorneys in a dynamic in-house legal department. S/he will be the point person on all pre-litigation, litigation, and administrative law matters as well as department contract work (and contracts administration). The position requires a proactive problem-solving attitude and range to assist with any matter referred to the legal department including primary areas of focus but also some corporate work (providing back up for the corporate paralegal) and internal reporting/filings/audits. This person will need to be supremely organized and collaboratively work with other legal support professionals to support a strong legal team at the heart of a growing company.

DUTIES AND RESPONSIBILITIES:

  • First Line Legal Support. Provide first line support with respect to voluminous inquiries to the legal department from business partners, either providing resources/answers directly or providing direction to the appropriate legal resource for support.

  • Contracts Administration. Manage current contracts, handle intake of new contract requests, and perform associated filings/distribution of executed copies:

  • Track, coordinate, and maintain non-airport vendor agreements negotiated by legal department such that they are organized according to department protocol and uniform naming conventions.

  • Handle intake of non-airport contracts for review and shepherd through negotiation up to and including final review/QC and execution/distribution/filing of documents.

  • Manage Ancillary Contract Doc Review. Evaluate and review certificates of insurance and credit application for compliance and work with business partners on necessary updates.

  • Monitor Legal Contracts inbox to ensure no missed agreements and proper processing/filing of non-abandoned contracts.

  • Maintain version control of form/template contracts and update relevant folders (as well as dedicated business partner resource shared folders) as needed.

  • Audit all non-airport contracts (either in progress or received within the previous period) on a quarterly basis to track status, address outstanding requests, drive execution, update/maintain executed agreement files, and track metrics.

  • HighQ Administrator. Serve as owner and administrator of matter management system, improving processes, creating new matters, entering/updating meta data, running reports, supporting users with requests/customizations/troubleshooting, filing all documents from Legal.Contracts mailbox, auditing/QCing for missing documents in files and remediating.

  • Create/Maintain Files. Manage and maintain all documents and record keeping including legal department filings, indexed legal binders, litigation/claim binders, new hire binders).

  • Manage Legal Deadlines. Calendar, monitor, and update all legal deadlines to ensure they are met through coordination with internal and external business partners.

  • General Litigation Support. Assist with all pre-litigation, litigation, arbitration, and administrative law matters, including demands, claims/complaints, civil actions, quasi-criminal matters (e.g. Health Department), EEOC charges, TSA, FDA, NLRB, and DOL matters.

  • Handle intake of matters (litigation, demand letters, notices, citations) from registered agent and appropriate distribution within legal department (and company, as necessary) for handling.

  • Oversee incoming service of process to ensure acceptance of service of process, circulation to relevant parties, and processing / handling.

  • Litigation Holds. Lead litigation hold compliance efforts by preparing formal "litigation hold notices" from templates, distributing to custodians and the Information Security and Compliance Director, tracking holds, and troubleshooting.

  • Litigation Tracker. Manage and maintain the various trackers (e.g. subpoenas, litigation, EEOC, litigation holds).

  • Information/Document Requests. Lead efforts to respond to subpoenas, document requests, information requests and open record act requests.

  • Collecting records from appropriate business departments (e.g. payroll, HR, operations/dining) and initial review for critical response criteria;

  • Managing associated deadlines with opposing counsel (document retrieval company); Calendaring for intra and inter-departmental teams internal (e.g. reminders) and external (court-required) response requirements;

  • Preparing invoices for production costs; prepare and distribute preservation/litigation holds (if needed);

  • Handling production (including redactions, bates labels, quality control (i.e. removal of duplicates, key word searches/review for work product/privileged documents, and monitor for payment of production invoice); and password-protect production.

  • Update the Subpoena Tracker for compliance purposes;

  • Special Projects. Support and assist staff with various special projects, administrative items, corporate compliance, and reporting.

  • Committee Backup Support. Provide support to the Legal Team representative on the Business Continuity and Safety Committees and in other endeavors.

POSITION QUALIFICATIONS:

  • 3+ years of experience as a paralegal or in contract management

  • Proven strength with respect to Litigation Management / Document Management

  • Excellent organizational skills, initiative, proactive problem-solving, intuitiveness, detail orientation, responsiveness, interpersonal skills, sensitivity to confidential information, and a can-do attitude

  • Microsoft Office (Word, Outlook, Excel, PowerPoint), Adobe, legal research, and strong computer skills

  • Thomson Reuters HighQ and Legal Tracker

  • Conga Contracts

  • Office and department administration.
