Management of all business operations, development and implementation for McLean Lincoln, a recently renovated, licensed residential facility for adult patients with treatment resistant depression and anxiety, located in beautiful Lincoln, MA, in the MetroWest region of Boston's suburbs.

Maintain compliance with all applicable local and state contracts, regulations and/or guidelines for the operation of the treatment program that operates 24/7; 365 days per year.

Principal Duties and Responsibilities

  • Accountable for comprehensive operational performance of the McLean Lincoln program including fiscal performance, all business operations, vendor supervision and regulatory and contract compliance under the supervision of the McLean Operations Director for Satellite Patient Services and the Program Leader.

  • Prepares and monitors program's McLean annual operating and capital budgets in collaboration with the Program Leader. Monitors program contracts budgets as required by McLean, and state agencies.

  • Responsible for general office procedures and functions (i.e. accounts receivable, accounts payable, purchase orders/EBuy system, etc.). This represents a large percentage of duties due to the need to contract all services provided for this off-site facility.

  • Greets vendors, patients, families, and guests of the program providing them with information and directions.

  • Oversees housekeeping activities at Lincoln and monitors performance of housekeeping, laundry and dry cleaners' services to ensure that Lincoln maintains a high level of customer service and responsiveness to matters related to comfort and safety for residents.

  • Manages all contracted vendor services (i.e. food services, dietary consulting, housekeeping and linen service, facility maintenance, lab services, waste management and hazardous waste contract, lawn and snow removal, etc.).

  • Conducts ongoing inspections of the facility, (i.e. furniture, accessories, equipment, house exterior, grounds, etc.) to ensure optimal appearance and maintenance of Lincoln property. Works with Vendors and the Mclean Facilities Department to ensure rapid solutions to repair and maintenance issues.

  • Manages all food service needs, including contracted food services and any dining service employees assigned as direct reports. Responsible for ServSafe compliance for applicable shifts.

  • Troubleshoots technical issues for the program (i.e. phones, computers, wireless, HDTV, etc.) through communication with the MGB Information Systems, McLean Digital, Telecom and Cable vendor.

  • Assures that Quality Assurance protocols and checklists are followed and reviewed in a timely manner.

  • Problem solves and coordinates the McLean shuttle transportation of patients, hired transportation for patients and the program courier issues.

  • Develops appropriate policies and procedures in collaboration with program Leader in compliance with local, state, federal agency regulations and prepare licensure materials as needed to ensure program is in compliance with DMH licensure criteria.

  • Manages the hiring processes in collaboration with Program Leader and coordinates Ask MY HR human resource data for Lincoln employees, ensuring that McLean orientation and training is scheduled and completed.

  • Manages Lincoln PeopleSoft (WorkDay), UK Dimensions and other MGB electronic systems and is liaison to McLean Human Resources and other administrative departments. Collaborates with Program Leader to manage schedule for staff supervision and to process PeopleSoft/UK Dimensions transactions in a timely manner.

  • Works with Human Resources in collaboration with Program Leader to resolve employee relations issues and assures accurate implementation of HR policies and procedures.

Qualifications (MUST be realistic, neither overstated nor understated, and related to the essential function of the job).

  • Bachelors degree required. Masters degree preferred in business or human services.

  • 3 years management experience in health care operations.

Skills/Abilities/Competencies Required (MUST be realistic, neither overstated nor understated, and related to the essential function of the job).

  • Entrepreneurial, self-starter with good managerial skills and ability to work independently.

  • Superior analytic and project management skills.

  • Knowledge of and experience in Behavioral Health treatment a plus.

  • Proficiency in Microsoft Office skills (i.e. Word, Excel, Access, PowerPoint) mandatory.

  • Excellent verbal and written communication skills to interact productively with staff and vendors, and to collaborate with the Program Leader and Human Resources to resolve employee relations issues.

  • Ability to work as part of a multidisciplinary team using a collaborative, solution-oriented approach.

  • All employees must possess basic computer skills to use a variety of electronic or online systems for communication, clinical and administrative purposes.

  • Required to complete electronic medical records training, and demonstrate 80% accuracy on competency test within 30 days of hire.
