Deductions Analyst

Position Summary:

The Deduction Analyst will be directly responsible for specific duties supporting the Divisional Accounts Receivable Deduction functions within the Accounting Department. Responsible for reviewing and analyzing customer payment deductions and collecting on customer claims that are deemed to be invalid in an accurate and timely manner. This job description details skills required to support the function, but the responsibilities will be structured or changed based on business needs and will be structured as one full time position.

Essential Functions:

  • Conducts research to validate and resolve deductions to invoice payments utilizing multiple tools and data points, including but not limited to Invoice, Customer PO, shipping documents, customer portal information, remittance documentation and communication with internal team members and customer contacts.

  • Document all research, support details and final outcome in Deduction Management System.

  • Understand and review customer specific compliance requirements to ensure the minimization of deductions taken by customer. Communicate and escalate issues when appropriate, to Sales team for customer follow up discussions.

  • Obtain and organize documentation for invalid deductions to be presented to the customer for the purpose of dispute resolution.

  • Responsible for resolving deductions in a timely manner and keeping outstanding, unresolved deductions under a determined days outstanding goal.

  • Ensure appropriate approvals and documentation is received in order to resolve outstanding deductions. Approvals will need to fall within an established limit of authority matrix.

  • Identify patterns or changes in deduction activity and communicate these patterns/changes with the appropriate internal contact (Sales or Customer Service) or external contact (the customer or the broker) so corrective action may be established.

  • Reconcile and verify work by verifying data entry output to system reports and balances.

  • Maintain files and documentation thoroughly and accurately, in accordance with the company record retention policy and accepted accounting practices.

  • Other duties as assigned to support the needs of the organization.

Position Qualifications:

  • Minimum of 3 years of Accounts Receivable and/or Deduction experience.

  • Solid understanding of accounting fundamentals, general ledger systems and procedures, and best practices regarding the Accounts Receivable/ Deduction functions.

  • ERP/ system experience preferred.

  • Strong verbal and written communication skills.

  • Possess a sense of urgency and self-motivation, ability to work independently.

  • Must be detail oriented, honest, reliable, professional, and a team player.

  • Ability and desire to contribute to a continuous learning and improvement environment.

Equipment: Computer and mouse, Telephone, Calculator, Office printer/ copier.

Schedule: Standard Schedule is 8:00 am to 5:00 pm, additional hours as required by workload and deadlines.
