As the Licensing Specialist for Fairway Independent Mortgage Corporation, you will use your knowledge of state and federal licensing requirements to ensure Fairway employees are appropriately licensed.

What you will do:

  • Ensure documentation is properly provided and maintained according to each state and/or agency's rules and regulations.

  • Monitor NMLS (Nationwide Multistate Licensing System and Registry) for review of company, branch, and individual filings or items that may require additional information

  • Confirm that the transition request in NMLS is within the corresponding state and their guidelines

  • Communicate with internal departments when processing changes or submitting new filings within the NMLS system to ensure proper notification

  • Assist in remaining compliant regarding access to products offered, loan inputting, marketing, etc.

  • Ensure new applicants provide correct information according to the state-specific or general requirements including, but not limited to: proper registration directly through the state or 3rd party site for background processing, completion of education requirements for obtaining licensing, updating of company bond to show addition of licensee, etc.

  • Monitor internal notifications for terminations, residential and branch changes of licensed employees and coordinate with various departments to confirm/prevent SAFE ACT violations

  • Handles deactivation of individual licenses by providing accurate and complete documentation and information needed to remain active and compliant

  • Uses 3rd party government sites and/or internal departments to obtain documentation and information needed to register and maintain company and branch licenses with the Secretary of State, county, and city offices

  • Assists the Legal and Compliance teams in obtaining any documentation required for all corporate filings, including Certificates of Good Standing, Certificates of Authority, and Fictitious Names/DBA applications

  • Research and provide information to teams of individuals to identify and/or confirm licensing profiles and match those to a branch while adhering to state-specific requirements

  • Assist with inquiries regarding licenses for new and retention of current licenses

  • Coordinate with outside vendors to assist with scheduling of Continuing Education needed to maintain active license status and monitor NMLS to ensure state-specific requirements have been met and renewals are processed properly according to the state guidelines

What we are looking for:

  • 3+ years of related experience

  • Experience with NMLS preferred

  • Experience with Encompass preferred

  • Experience working in an office within the service industry, real estate settlement industry, preferred

  • Demonstrated experience with high-volume data entry

  • Demonstrated experience in attention to detail, written and oral communication, organization and multi-tasking, working in a team environment adhering to strict deadlines

  • Demonstrated experience working in a fast-paced and changing environment
