Summary

Under the direction of the Licensing Director and/or Licensing Supervisor, the Licensing Assistant will provide support to the Licensing Division. The main function of the Licensing Assistant is to be the first point of contact for the Licensing Division and fields all requests for assistance and information.

  • Maintain a good attitude with strong public relations commitment.

  • Operate a personal computer using a variety of software programs-highly skilled in using Microsoft Office applications.

  • Skill in operating office equipment, including copiers, scanners, and fax machines.

  • Excellent organizational, document management and record keeping skills.

  • Prioritize workload and exercise good time management skills.

  • Pay attention to detail to assemble information for review.

  • Ability to set goals and accomplish same.

  • Able to travel as assigned; and

  • Ability to sit for an extended time period

Essential Duties and Responsibilities

Responsible for carrying out the duties and responsibilities as assigned.

  • Welcome visitors by greeting them, in person or on telephone.

  • Answer phone calls and direct to the appropriate staff.

  • Calendar appointments for new applicants and renewing licensees.

  • Enter applicant/licensee information into the licensing database.

  • Issue username and passwords for licensing applications.

  • Make copies and files.

  • Print and issue licenses (badges).

  • Maintain all applicable logs.

  • Distribute mail to the Licensing Division.

  • Communicate all incoming and outgoing correspondence for the Licensing Division.

  • Coordinate the ordering of supplies for the Licensing Division.

  • Present the Licensing Orientation to Soboba Casino Resort new hires.

  • Assist Investigators in the licensing process when necessary.

  • Create and update applicant/licensee profiles in the licensing database.

  • Ensure confidentiality of all information, reports and correspondences in the Gaming Commission Office; and

  • Perform other duties as assigned.

Minimum Qualifications

  • Ability to work anytime including evenings, weekends, and holiday.

  • Must be at least 21 years of age.

  • Successfully pass a pre-employment drug screening.

  • Meet and maintain licensing standards/guidelines to qualify for a key gaming license; and

  • Possession of a current California Drivers' License or California Identification.

Education/Experience

  • Must have at a least a High School Diploma or G.E.D. from an accredited institution and at least 2 years of related experience and/or training; or equivalent combination of education and experience in the field of general office duties and responsibilities.

Physical Demands

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job, the employee is required to speak and listen. The employee frequently is required to stand and walk. The employee is occasionally required to sit; use hands and fingers to feel objects, tools or controls, which will require the ability to reach out with upper appendages. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include ability to adjust focus.

Working Conditions

  • Commission employees are expected to work some days and hours outside the normal workweek. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. While performing the duties of this job, the employee is regularly exposed to secondhand smoke. The employee will occasionally work near electronic gaming equipment. The noise level in the work environment is usually moderate.
