Job Summary:

This position will be responsible for all aspects of permitting and licensing NFI's assets. This position will have two direct reports and will report up to the Director of Assets.

Essential Duties & Responsibilities:

  • Completes title documentation efficiently and accurately for IRP level assets directly with third party vendors.

  • Supervise the submission of IRP additions, replacement/registration requests and local licensing to ensure accuracy and timely responses/processing.

  • Facilitates training and access to third party document depository.

  • Maintains communication to the field and shops regarding updated permit book information, applicable regulation changes and liaisons proper documents from third party document depository.

  • Supervise the submission of Overweight/Oversized, ABC Alcohol and all other specific permits specific for necessary state travel.

  • Collaborate with internal clients to ensure proper licensing as well as respond to inquiries and escalations as needed.

  • Work directly with the State Division of Motor Vehicle and other agencies across the US and Canada for specialized permitting.

  • Ensure accurate and complete data entry is placed into various systems, document management and project tracking for data integrity.

  • Maintains related invoicing with timely processing and accurate expense allocation.

  • Handles Port related permitting as needed.

  • Handles Federal 2290 Heavy Highway use tax processing.

  • Participates in research and special projects as assigned.

Requirements:

  • Verbal and written communication for understanding project requirements and explaining needs to employees and third-party providers

  • Attention to detail to ensure all specifications are met efficiently and within deadlines

  • Problem-solving abilities to correct any challenges or inefficiencies for the best results

  • Decisiveness and good judgment to address pressing matters when time is limited

  • Maintains solid customer relationships both internally and externally by handling questions and concerns with speed and professionalism including adverse situations

  • Must understand and be proficient in using Google Mail, Windows Operating System as well as Microsoft Office Applications. Especially Excel

  • Computer Applications experience in TMT Fleet Maintenance software, TMW Suite operating systems, and Lawson Accounting systems a plus

  • Experience with registration and permitting preferred

  • Has knowledge and experience related to applicable regulation changes

  • High school diploma, tech school or college graduate, preferred

  • 3-5 years relevant experience

  • Computer knowledge including Microsoft Office (Word, Excel, Gmail, PowerPoint)
