Job Summary:
The Licensing Administrator, a pivotal role in our organization, is the primary point of contact for current and potential licensees, chiropractic assistants, preceptors, interns, externs, CE applicants, business entities, and the public with licensing or registration inquiries.
The ideal candidate will perform various duties on behalf of the Arizona State Chiropractic Board of Examiners (ABCE). Primary responsibilities include assisting with licensing-related budgets adhering to licensing and Continuing Education (CE) statutes, rules, policies, and procedures.
This position is responsible for coordinating services with administrative personnel. This high-level position involves ongoing collaboration with management to achieve organizational efficiency. The Licensing Administrator is responsible for administering the processing of compiling and preparing for the Executive Director's approval of all licensure applications, ensuring all applicants have met the requirements outlined in the Chiropractic Practices Act. Preparing licensure memos for the Board's review at Board meetings for applicants with criminal or disciplinary actions in their background and presenting this information to the Board during its Board Meetings.
This position also supports the Executive Director in the areas of agency operations, including public meeting setup and operations; the employee works under the supervision of the Executive Director. Completes special projects to support the Executive Director and the Board's mission.
Must be organized, with skills in planning, tracking, and managing various deadline lines, use of office equipment, software; e.g., MS Office and Adobe products.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.
Job Duties:
Reviews, and verifies for compliance with applicable regulations, investigates and resolves discrepancies or omissions in application materials, and processes all applications for licensure, certification, reinstatement, renewals, status changes, preceptor program, business entity registrations, chiropractic assistant registrations, etc. for approval by the Executive Director, or Board approval as directed
Processes approved applications, and issues corresponding indicia
Responsible for processing applicant's various background checks in compliance with all applicable laws, policies, and procedures including NCJS fingerprints, NPDB, CIN-BAD
Handles, or escalates as needed, phone calls, emails, mail, and walk-in customers with licensure and registration-related inquiries and documents as appropriate
Respond to or route routine inquiries from external or internal sources with standard correspondence or other messaging
Works independently within established operating procedures associated
Supports the Executive Director in the areas of updating and tracking databases, spreadsheets, reports, website, etc. as required or as directed
Including posting Board meeting audio, minutes, and agenda to the Boards website
Supports the Executive Director in Board Meeting operations and public meeting setup (Managing Zoom Meetings, room A/V operations, and board meeting audio recordings)
Responds to and processes public records requests for lists and labels, license verifications, and others as directed
Serves as backup for AAII
Assists the Board Investigator with Continuing Education Audits of licensees and investigating discrepancies in application materials and ensures compliance
Drafts and prepares reports and presents to the Board licensure memos regarding licensees who have criminal or disciplinary action
Presents report findings to the Board during Board meetings
Provides administrative duties and/or special projects as assigned by the Executive Director

Pre-Employment Requirements:
High school diploma preferred; may substitute customer service or administrative experience
Employees who drive on state business are subject to driver license record checks, required to maintain acceptable driving records, and complete any required driver training (see Arizona Administrative Code R2-10-207.11)
Requires possession of and ability to retain a current, valid state-issued driver's license appropriate to the assignment
