USF St. Petersburg campus is a branch campus of the University of South Florida.
Situated on 52 acres of waterfront in the heart of downtown St. Petersburg, the USF St. Petersburg campus offers an intimate experience with the benefits of attending a large institution.
The Nelson Poynter Memorial Library (NPML) on the USF St. Petersburg campus is a closely integrated library within the USF Libraries. NPML is an airy three-story building; natural light comes through the many south-facing windows that overlook the sparkling waters of Bayboro Harbor.
NPML is staffed by 8 faculty librarians and 20 full-time professional staff.
Position Summary
This position serves as the User Specialist role and oversees customer service interactions at the Nelson Poynter Memorial Library Services Desk. This includes the oversight of group study room scheduling, circulation of library materials including books, reserves, laptops & other items; general informational assistance and familiarity with St Pete campus departments; This position reports to Manager, Library Operations, Discovery and User Services Department.
The Discovery & User Services Department provides support to USF faculty, staff, students and community members, including circulation, course reserves, uborrow, and interlibrary loan (ILL) services. This position as serves as morning desk staff, primary building opener, 730am to 430pm, M-F, and staffs desk on rotational Saturday shifts.
Requires specialized knowledge of the following operating systems: ALMA, PRIMO, ARES, ILLIAD, GOBI, University Bursar System OASIS/BANNER, PEOPLESOFT, and Amazon Bull Marketplace.
Responsibilities
Opens library according to established procedures, M-F, when classes are in session
Works as a team leader to receive and process all textbook requests. Processes requests for print, streaming media and electronic reserve requests for courses taught each semester
Processing reserves involves checking for available materials in library catalog, avoiding placing duplicative textbook orders and ensuring titles are processed in a timely manner
Provide all communication with faculty and builds relationships with faculty to assess and provide for students' course reserve needs
Works with Dept manager to identify ALMA/PRIMO VE issues in Fulfillment module and suggests workflow improvements
Assists with setting service desk scheduling for Access Services staff and student assistants
Responds to all telephone, email and in-person inquiries at Service Desk and circulation inbox; stp-circulation@usf.edu
Interprets policies as needed to facilitate customer transactions. Assures timely and appropriate response to patron inquiries. Resolves customer service complaints or issues in a timely and courteous manner.
Verifies materials placed on permanent reserves comply with copyright policies.
Maintains databases and statistics of current reserve, professors, courses and titles.
Processes p-card purchases in coordination with collection development manager using vendor websites and ILS library software.
Uses institutional pcard to place orders for textbooks and serials invoices for Collection Development & Tech Services. Uses Ex Libris ALMA acquisitions module to record and maintain PO lines for invoices.
Recommends textbooks to be purchased through vendors websites or software (Amazon/GOBI).
Maintains pdf files on shared storage of pcard transactions and receipts and reconciles pcard transactions and receipts with Library Fiscal Analyst. Reconciles incoming materials from Amazon with textbook invoices.
Reviews textbook donations before accepting donations. Assists with purchasing dept supplies from Amazon.
Represents the department, personnel division or University on occasional and recurring committees as requested.
Participates on library teams and university committees as assigned by supervisor. Certified golf cart driver for library events. Represents Access Services unit at student orientation/FTIC summer orientation.

Position Qualifications:
MINIMUM:
This position requires a high school diploma and four years of experience in a customer service environment. Appropriate college coursework may substitute for the required experience.
PREFERRED:
Bachelor's degree preferred. 2 years academic library experience. Policy and procedure development. Experience with Integrated Library Systems (ILS) - Circulation module, including ability to troubleshoot between ILS and University business application systems.
