The Department of Labor & Industries Insurance Service Division has an opportunity available for a dynamic Administrative Assistant 3. Our ideal candidate will serve as the principal assistant to the Operations Managers who is responsible for a Designated Service Area consisting of a number of Claim Units. We are searching for an individual who will enthusiastically assist the Claim Units in their efforts to support the agency mission of providing medical care and financial support to injured workers.

Some of what you'll do:

  • Assist in the coordination of implementing the claims management procedures, processes and policies.

  • Independently research, prepare, analyze and assemble data for special projects. Coordinate claim professional staff's work between agencies, the public and governmental entities. Establish and follow administrative policies, procedures and methods for the manager and offer assistance to unit supervisors to ensure that work assignments are met accurately and timely.

  • Answer inquiries, questions and correspondence on departmental matters. Independently initiate and compose clear, concise reports, memorandums and letters for the manager's signature and prepare and sign correspondence as the manager's assistant in his/her absence.

  • Delegate responsibility for creating and relaying assignments to staff and tracking workloads to ensure deadlines are met.

  • Read and distribute incoming mail; serve as a central point of electronic security coordination, meeting agendas and minutes, travel expenditures, and training requests.?

Applicants committed to providing exceptional customer service, and ready for an Administrative Assistant role with a minimum of three years of experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work or equivalent education and experience who can type 40 wpm accounting for errors.

  • Proven success implementing and maintaining tracking systems and managing multiple projects, organized and flexible.

  • Exceptional coordination, facilitation and follow through skills.

  • Ability to prioritize and perform multiple tasks simultaneously, handle interruptions appropriately and complete assignments on time.

  • Intermediate/expert level computer skills including Microsoft Office applications; Outlook, Excel, Word and PowerPoint.

  • At all times respects and values others. Willingness to work cohesively with internal and external members of the organization, as well as the public.

  • Professional and courteous in all interactions.

  • Act within guidelines, accomplish job assignments and accept personal responsibility.

  • Draw sound, sensible conclusions, and makes informed decisions to resolve issues.
