The Department of Labor & Industries Workers Compensation Systems Modernization Project Office has an opportunity for a dynamic Administrative Assistant 3 to join our team.

In this role, you will support the Workers Compensation Systems Modernization (WCSM) project and serve as the primary administrative assistant to the WCSM Project Office.  You will lead in confidential administrative and secretarial matters, including calendaring, taking/distributing meeting minutes, and facilitation of weekly meetings.  You will serve as the WCSM liaison between external stakeholders and internal claims, IT, and customer business areas regarding coordination for project efforts.

This is an integral position for the WSCM Project and WCSM Project Office and is specifically connected to the agency's strategic goal #3, "Make it easy to do business with L&I" and our mission "To Keep Washington Safe and Working."

The WCSM Project Office is working towards the goal of successfully replacing and implementing the new workers' compensation computer system and streamlining our business process at Labor & Industries (L&I).

Some of what you'll do:

  • Provide administrative support to program leadership to ensure coordination and completion of tasks and projects.

  • Relay WCSM management and program leadership communications, assignments, status requests, reporting information or other information to staff.

  • Attend weekly meetings as assigned and take/distribute meeting minutes in an efficient, complete manner, and within appropriate timeframes.

  • Perform daily WCSM calendar and email management for managers.

  • Maintain WCSM calendar, coordinate schedules, and prioritize meetings.

  • Prepare necessary materials for meetings and projects, and provide administrative support to WCSM Project staff as necessary.

  • Develop employee training programs/courses, visual aids, or other materials, schedule and conduct presentation and/or training.

  • Reorganize and/or assign office spaces, modify workflow process to achieve efficient use of space, equipment, and personnel.

  • Act as the Electronic Security Coordinator for project office; submit STARS requests to ensure program members have appropriate permissions/accesses needed to perform their jobs.

Required:

High school diploma or GED AND three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.

Formal education may substitute year for year for experience.

Other required skills:

Knowledge of:  Office procedures and practices, business management practices, research methods and data collections, communication and correspondence practices, principles and practices of supervision.

Knowledge working with Microsoft suite.

Ability to: work independently, read, understand and interpret policies and procedures, develop written reports, work effectively with others, communicate effectively, both written and verbally.

L&I also offers flexible custom work schedules. For positions where in-office work is necessary, the frequency of telework will be discussed with the supervisor of the position at the time of offer.

For this position, telework is permitted full-time with the expectation you may need to come into the office for team meetings on occasion based upon business needs. The assigned duty station for this position is Tumwater, Washington.
