This position will perform duties within Council's Communication Office. Candidates for this position should have a considerable experience with organizing public events and interviews, public speaking, writing speeches and press releases, and scheduling and conducting interviews.

Candidates should also demonstrate a strong research background and knowledge of community and government affairs and current events. Candidates should possess excellent analytical, communication, and writing skills. A graduate degree in Communications or a related field, along with government-related work experience, and knowledge of Columbus City government is preferred.

A person who has been selected by an appointing authority in accordance with the Columbus City Charter, Section 148(1) is said to have received an unclassified appointment. Those individuals receiving unclassified appointments serve at the pleasure of their appointing authority and may be terminated from employment at any time. Under direction, is responsible for initiating and coordinating special assignments, projects, and reports in support of City Council and/or City Clerk; performs related duties as required.

Examples of Work

(Any one position may not include all of the duties listed, nor do the examples cover all of the duties that may be performed.)

Oversees and maintains the citywide Legistar database and all related electronic files including ordinances, resolutions, agenda, minutes, documents, public notices, appointments, and communications of the City Clerk;

Serves as liaison to City employees from all departments as primary contact person to resolve all matters relating to special permissions, maintenance, software updates, and troubleshooting technical problems pertaining to the Legistar database;

Conducts training classes on software programs;

Compiles, formats, and proofs the weekly City Bulletin and annual reports using professional desktop document publishing software;

Prepares agenda, legislation, public notices, journal/minutes, and principal party reports for City Council including responsibility for posting items to Council's website using software required by the Department of Technology;

Prioritizes phone calls, correspondence, and inquiries that must be handled by the supervisor and ensures essential matters are handled in the absence of the supervisor; relays critical information to the supervisor;

Coordinates travel arrangements for elected officials and City Clerk;

Finalizes appointments for elected officials; coordinates details for meetings and conferences;

Takes, transcribes, and distributes verbatim minutes of meetings, boards, and hearings.

Responsible for providing executive level administrative support to the Senior Vice President of Human Resources. In addition, provides general administrative support to the Human Resources Department. Frequently communicates with senior-level internal and external contacts and is regularly exposed to confidential data and information. Works independently on functional projects to meet the department's needs. Duties: * Has knowledge of the executive's accountabilities and method of operation, and has a high level of tact and integrity due to the sensitive nature of information. * Coordinates travel arrangements, calendars, agendas, budgets, record keeping, expense review and correspondence. * Performs a wide range of administrative and general support duties that may be of a highly responsible and confidential nature. * Anticipates, responds and resolves administrative issues. * Reviews emails for priority information and meeting requests as directed. * Understands key dates and when deliverables are due to coordinate meeting shifts or provide feedback on why meetings dates are firm. * Drafts, revises and publishes meeting agendas, recaps, and project plans after receiving executive approval. * Provides executive with print outs of necessary materials for meetings. * Project Management Support: * Project Management Support: * Supports creation of presentations and status updates. * Owns conference room setup/teardown and catering requests for team meetings. * Supports HR Team with year-round project planning. * Meets with Executive Assistant partners monthly (or more often as needed) to present and resolve calendar issues and finalize agendas. * Coordinates onboarding for new or transferred associates within the department. * Updates current and go forward meeting planners with removing or adding attendees as needed i.e. new hires. * Schedules team meetings and touch bases with direct reports. * Supports the event planning team with execution of company events and philanthropic initiatives * Administration of the Milestone Award, Birthday Award, Recognition, Education Assistance, and Matching Gifts programs. * Responsible for managing the procurement needs for the department. * Miscellaneous reporting for department and cross-functional partners * Manages special projects that may include creating presentations and reports for meetings. * Manages and conducts weekly New Hire Onboarding.Manages the online onboarding system. * Manages unemployment claim responses. * Administers store closing and separation agreement processes. * Opens/sorts department mail; forwards to others when necessary. * Provides back-up EA support to other departments as needed to cover PTO - responsible for certain predetermined meetings and for the review of expense reports from department. * Other duties as assigned Requirements: * Minimum of 5-7 years administrative support experience.
