Kutak Rock is seeking a full-time Legal Support Specialist in its Tallahassee, FL office. This position provides support to attorneys throughout the office in collaboration and coordination with other staff members. The selected candidate will be proficient in Microsoft Office and be willing and able to learn new software platforms unique to Kutak Rock and adapt to changing technology on a continuing basis. The ideal candidate will be a team-oriented professional with an aptitude to interface professionally with clients, lawyers, and staff.
JOB SUMMARY
Kutak Rock is seeking a full-time Legal Support Specialist in its Tallahassee, FL office. This position provides support to attorneys throughout the office in collaboration and coordination with other staff members. The selected candidate will be proficient in Microsoft Office and be willing and able to learn new software platforms unique to Kutak Rock and adapt to changing technology on a continuing basis. The ideal candidate will be a team-oriented professional with an aptitude to interface professionally with clients, lawyers, and staff.
RESPONSIBILITIES
Apply discretion and maintain firm and client matters with the strictest confidence
Coordinate workflow for attorneys, delegating specific task to other teams, including follow up and quality control
Type, transcribe, revise, and proofread legal documents accurately, prioritize assignments, and meet specific deadlines on projects
Assist with compiling transcripts, reviewing, summarizing, and coding pertinent documents
Prepare and process new matter forms, requests conflict checks, and opens new files
Answer telephones and cover for others when needed
Coordinate client billing matters, prepares billing letters, and other requested client financial updates
Assist lawyers with time and expense records for submission to Accounting Department
Manage general office duties such as preparing copies, scanning, printing e-mails, and documents
Handle heavy filing, organize, and maintain extensive sets of files, both paper and electronic
Read and route incoming and internal mail; assemble large mailings
Serve as cross functional point of contact for special projects to support workflow in the firm
Be flexible with hours when work demands
Take on other duties as assigned
QUALIFICATIONS: Skills and Abilities
High level of attention to detail
Advanced knowledge of Microsoft Office, including PowerPoint and Excel
Ability to work well under the pressures of deadlines
Ability to prioritize and multi-task, moving from one project to another efficiently
Excellent verbal and written communication skills
QUALIFICATIONS: Education and/or Experience
Associate degree (A.A.) or equivalent from two-year college or technical school; or equivalent combination of education and experience
Three years' legal secretary or equivalent experience preferred
Preference given to those with experience in a law firm or corporate legal department
POSITION INFORMATION:
Position Status: Non-Exempt
Workplace Type: Hybrid (3:2) after a 90 day review by supervising attorneys
