JOB SUMMARY:

Provides administrative support to the Legal Recruiting Department in executing processes related to recruiting and hiring of lateral lawyers for the New York office, the summer associate program and the law school on-campus hiring season.

ESSENTIAL FUNCTIONS:

  • Assist recruiters in organizing logistics and attending recruiting receptions/outreach events, on campus events and summer program social events.

  • Input and continuously update candidate's information into the legal recruiting database and ensure completion and accuracy of all essential information.

  • Generate and run various summary and pipeline reports as directed using the legal recruiting database.

  • Organize promotional materials needed for on-campus recruiting events and the interviewing materials utilized by on-campus interviewers.

  • Organize interview schedules for interviewing candidates and assembles interview materials for candidates.

  • Assist recruiters with lateral associate hiring including candidate tracking and communicating with search agencies.

  • Communicate information related to interviews to those internally involved in the process (including lawyer interviewers, travel department, legal recruiting staff, reception staff, and building security).

  • Greet candidates interviewing with the firm, when required.

  • Prepare and deliver appropriate correspondence to candidates regarding their employment status.

  • Assist recruiters with summer program planning initiatives and social activities.

  • Assist recruiters with diversity initiatives.

Legal Recruiting Department support may include:

  • Opening, sorting, distributing department mail

  • Processing check requests and paying invoices for department expenses

  • Process and track all travel reimbursement expenses from lateral and law student candidates

  • Arranging logistics for internal/external meetings including sending meeting appointments and preparing meeting materials such as agendas, reports, PowerPoint presentations, etc.

EDUCATION, EXPERIENCE AND SKILLS:

  • Bachelor's degree is preferred.

  • A minimum of one year of administrative experience in a fast-paced, professional services industry is also preferred.

  • The position requires strong interpersonal, verbal and written communication skills.

  • Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint) and applicant tracking software experience is a plus.

  • Minimum typing speed of 45 wpm.

WORKING CONDITIONS:

Normal office environment and schedule. This is a non-exempt position; candidate must be willing and able to handle overtime as needed especially during the busy on-campus season (July September).

VIEW JOBS 4/12/2019 12:00:00 AM 2019-07-11T00:00 JOB SUMMARY: The Legal Recruiting Coordinator, working closely with Legal Recruiting department leadership, is responsible for coordinating activities related to the recruiting and hiring of lawyers (entry level, lateral and non-partner track attorneys) for the firm. ESSENTIAL FUNCTIONS: * Develop relationships with law school career services officials and staff, student leaders and organizations. * Identify opportunities on campus and in the community to engage and attract law students, while promoting the firm's brand and attracting top entry level talent. Organize law school outreach initiatives, including planning and attending recruiting events designed to market the firm and engage candidates. * Plan and execute the summer program, including integrating summer associates into the firm, organizing and attending social events, coordinating work assignments, managing mid- and end-of-summer evaluations and serving as general point of contact for summer associates. * Manage the on-campus recruiting process, including reviewing candidate materials prior to interview days, prepping on-campus interviewers to meet with candidates, hosting hospitality suites and candidate receptions, and preparing candidate materials for de-brief meetings. * Coordinate the callback interview process by scheduling callback interviews, tracking and following-up with attorneys for interview feedback, organizing agenda materials for local office hiring partner meetings, updating applicant tracking system and coordinating appropriate communication to candidates regarding their employment status. * Coordinate individual post-offer recruiting plans by continuously updating attorneys involved in interviewing on the status of their candidates, facilitating attorney outreach to offerees, scheduling follow-up meetings with offerees and attorneys, and organizing post-offer dinners and receptions. * In conjunction with the Legal Recruiting Managers and Practice Group Leaders (PGLs), coordinate lateral associate, career attorney and technical advisor recruiting initiatives including drafting job postings, reviewing and processing resumes, identifying and presenting qualified candidates to the PGLs, organizing interview schedules, collecting and synthesizing interviewer's feedback, generating offer letters, submitting conflict and background checks paperwork and organizing local orientation logistics. * Serve as liaison with legal placement agencies and/or prospective candidates from the initial screening stage through employment decision stage. * Assist with the administration of annual survey requests, including Vault and AmLaw. * Under the direction of the Legal Recruiting Managers, provides updates to the hiring web site and recruiting print materials. * Generate recruiting reports and statistics using the legal recruiting applicant tracking system (LawCruit), * Stay current of evolving developments in legal recruiting field, in part by representing the firm through membership at local legal recruiting organization and conducting market research with peer firm representatives. * Perform additional duties as assigned by the Legal Recruiting Managers. EDUCATION, EXPERIENCE AND SKILLS REQUIRED: * Bachelor's Degree Preferred * Three to five years of professional experience preferred, especially recruiting experience at a mid-sized or large law firm, or in another professional services industry * Proficiency in the use of computer programs including Microsoft Office (Outlook, Word, Excel, PowerPoint) and experience with database programs (e.g., LawCruit, Symplicity); advanced social media (LinkedIn etc.) and web-based programs skills are highly desirable * Excellent written and oral communication, organizational, and interpersonal skills. * Ability to recognize confidential information and to maintain confidentiality of such information. * Ability to work efficiently independently as well as within a team * Highly-motivated with strong initiative skills.
