Legal Clerk

  • Prepares and sends answers for legal orders (Writs/Levies/garnishments) served on the bank.

  • Helping with incoming and outgoing mail

  • Help with various office functions such as copying, folding letters, stuffing envelopes, etc.

  • Must be able to lift mail bags, and/or paper reams/boxes (min of 50 lbs).

Responsibilities:

-FedEx USPS and preparing documents for shipment to DSR (Document Storage & Retrieval) for imaging.

  • Preparing outgoing mail count or measure mail for delivery and folding letters.

  • Utilize office appliances such as photocopier, printers etc. and computers for word processing, spreadsheet creation etc.

Working hours: 8:30 AM - 5:00 PM

Skills:

-Team based environment, good communication, positive attitude and flexibility is essential to succeed.

  • A high degree of accuracy and control is required to keep the bank in compliance with state and bank regulations.

  • Attention to detail (sensitive info must be kept in compliance)

  • Production experience is a MUST (Fast paced, production driven environment)

  • Standing/lifting/moving (min of 50#)

Qualifications:

-1+ years of operations or legal processing experience

  • Ability to perform general operation processing work

  • Basic knowledge and understanding of legal terms and processes

  • Strong analytical skills with high attention to detail and accuracy

  • Good verbal, written, and interpersonal communication skills

Job Summary: Reporting to the Legal Office Administrator, the Senior Legal Specialist is responsible for supporting attorneys and paralegals in the practice areas of human resources, employee relations, and electronic discovery utilizing various computer programs and technology to produce documentation, plan projects, and collaborate with others by exercising judgment, diplomacy and discretion. Major Responsibilities: Administrative Duties Include (70%): * Document production utilizing Microsoft Word to compose, draft, type, edit, apply and redefine styles, format documents, generate auto numbering, captions, multiple sections, headers/footers, tabs, and reconcile corrupted documents; redline documents using Workshare software; proofread documents and reports; build spreadsheets with Excel; generate presentation materials with PowerPoint; organize, store and retrieve documents in document management application; and manipulate pdfs with Adobe Acrobat. * Utilize media creator and manager software to extract Bank information for e-Discovery Attorney. * Assist paralegals and attorneys in State and Federal Courts with working knowledge of various Court systems' filing rules. * Prepare documents for Court filings, including technical formatting, proof of service, and distribute via e-filing or fax. * Team up with Legal Process regarding requests from outside agencies for Bank records, including subpoenas, document production and criminal proceedings. * Research technical Bank systems and work within hierarchy to obtain records or stored information requested by subpoenas or Court documents. * Collaborate with various employees in all areas of the Bank including Human Resources, Employee Relations, Information Technology, Legal Process, Bank Security and Loss Prevention in obtaining Bank records or information as requested. * Coordinate travel arrangements including airline and hotel reservations. * Prepare and track expense reimbursements. * Process and handle invoices to accounts payable, including rush checks for mediations, hearings, and expert witnesses; and follow up as required. Legal Clerical Duties (20%): * Create and maintain cases in electronic billing system, including creation of physical files. * Perform research on Bank's systems and Westlaw. S * can and organize files and records obtained from Human Resources or other internal Bank sources. * Generate charts and complex reports. Perform additional duties and special projects as assigned (10%) Qualifications: Additional Information: Knowledge, Skills, Abilities: * Advanced computer and technology skills including all aspects of Microsoft Office (Word, Communicator, Excel, Outlook, and PowerPoint), SharePoint, DeskSite, Workshare, Adobe Acrobat, Roxio, and electronic billing system. * Strong interpersonal and communication skills including verbal, written and listening. * Process requests and complete complex projects in a timely manner with minimal oversight from others. * Capable of drafting and finalizing documents, memos and letters, including strong proofreading skills and correct grammatical usage. * Ability to multi-task, analyze and prioritize workload. * Excellent organizational and follow-up skills. * Knowledge of electronic document storage, e-discovery, and legal process. * Background in human resources and/or employment law with knowledge of EEOC and DFEH. * Maintains confidentiality while building relationships with various Divisions in the Bank requiring tact and discipline. Education, Licensure, Experience: * Requires 5 to 10 years experience working in a corporate legal department and/or law firm supporting human resources, employee relations, or e-discovery attorneys and paralegals. * Bachelor's Degree preferred or relevant experience.
