LeClairRyan is currently seeking a Billing Specialist in our San Francisco, California office who will contribute to overall success and help secure the bright future of the Firm.

LeClairRyan established the San Francisco, California office in 2007. The location is now home to approximately 20 attorneys in addition to professional support staff. With a wide range of experience, LeClairRyan's San Francisco teams provide services to clients in practice areas that include intellectual property, business litigation, products, commercial, and professional liability, transportation, construction, insurance, medical malpractice defense and labor and employment matters.

LeClairRyan's accounting department is a vital part of our growth. In its entirety, the accounting team is comprised of Pricing and Billing, Accounts Payable, Accounts Receivable and Collections, and Financial Planning and Analysis professional staff who collaborate and assist in meeting the financial goals of LeClairRyan. Individuals who join our accounting team will have the ability to learn and grow amongst peers who are dedicated to high standards of client satisfaction and professional performance.

The billing specialist will assist the Firm in achieving budget by performing billing and e-billing tasks in accordance with client guidelines and the Firm's policies. This role is considered a Level I billing role and is responsible for facilitating all necessary billing functions for assigned attorneys. This role works collaboratively with a Client Account Representative to provide accountability and excellent client service to internal and external clients. In order to timely and accurately bill and collect invoices, this role must be proficient in understanding the Firm's processes and policies including; conflicts, master file setups, accounts payable, billing and e-billing and cash receipts.

Specific e-billing functions to include (but not limit):

  • Review of newly opened matters for assigned attorneys and/or assigned clients to ensure that setups align with client billing requirements

  • Displaying proficiency in submission to and analysis of client electronic billing websites.

  • Collaboration with E-billing Coordinator to ensure continuous compliance with electronic billing requirements.

  • Coordinating with Billing Auditor to assist with advice regarding acceptable client billing practices, budget preparation, and submission of appeals.

  • Timely submission of electronically billed invoices and timely resolution of rejected/pending invoices; coordinating the same with E-billing Coordinator.

  • Collaboration and facilitation of budget and appeal preparation/submission for assigned e-billed clients in a timely manner.

  • Providing continuous information to Billing Partners to assist with management of invoice rejections, adjustments and appeals.

Specific general billing functions to include (but not limit):

  • Assisting the Firm with an accelerated billing cycle to include timely processing and distribution of Pro Formas among assigned office location/s.

  • Coordination of monthly Pro Forma distribution to billing attorneys and serving as primary recipient for incoming Pro Formas.

  • Performing all billing related functions to include rate changes, bill reversals, trust allocations, reversals, time erasures and complex billing arrangements.

  • Providing updates on Pro Forma Compliance Tracker and ad hoc updates to Accounting Managers.

  • Evaluating and facilitating resolution of aged work in progress (wip) and providing status updates to Accounting Managers.

  • Collaboration with attorneys and staff to provide solutions regarding time entry, billing and cost recovery.

  • Collaboration with Firm employees on client related reporting needs.

Required Skills

  • Associates Degree or equivalent education and/or experience.

  • Minimum of 2 years billing and ebilling experience preferred. Legal or professional services experience is a plus.

  • Must be able to demonstrate excellent written and oral communication and to exhibit a personal priority approach.

  • Must possess strong technical skills to use sound judgments and reasoning in problem solving.

  • Must display a high degree of initiative and ability to organize and prioritize daily responsibilities and special projects, as well as to coordinate resources to achieve desired results.

  • Must be able to maximize time and effort in addressing position responsibilities, as well as quick adaptation to changes in priority assignments.

  • Must be able to work through stressful situations and maintain high levels of productivity.

  • Must possess the ability to work in an interactive team environment with a customer service focus, both internal and external.

  • Must be able to empower others in a team setting.

  • Must display comfort with and exemplify the ability to offer expert opinions regarding billings of an account.

MAJOR RESPONSIBILITIES: * Provides administrative support for Deputy General Counsel and team of attorneys. * Support includes scheduling complex and recurring meetings across different time zones, coordinating and arranging video conferences, luncheons and conferences.
