Position Purpose:


The Legal Assistant works under the direction of the Vice President General Counsel performing legal assistant, secretarial and administrative duties for the Legal Division. Duties include preparation of confidential reports/minutes, assistance in the discovery process for legal cases, maintenance of case files, contract database management and recording/trending of data. Assists General Counsel, Paralegal and direct reports of General Counsel. Assists with contract management by processing contract review requests, creating file, keeping database of all contracts including archived, pending, and current as well as uploading final contract versions on shared drive or contract management software within respective division. Responsible for administering the annual hospital-wide Corporate Responsibility Program Education and ensuring all departments complete their education by the end of the applicable time frame. Prepare report of progress and submit to the Corporate Responsibility Committee meeting. Responsible for the distribution, safekeeping and recording of the Administrative and HIPAA policy manuals. Responsible for uploading the Administrative and HIPAA policies through document management software for viewing on the hospital#s intranet. Maintains document management system for departmental policies to ensure access rights are updated as needed and contracts that are uploaded are included in the system. Orders and stocks all office supplies. Assumes responsibility for maintaining office equipment (i.e., copy machine, computers, etc.). Processes invoices for payment from various vendors and law firms in a timely manner, submits accruals from law firms, keeps track of invoices from law firms monthly, and creates reports needed. Schedules meetings/educational programs including the room scheduling, set up, A-V equipment, refreshments when required, maintaining a system to track attendance of meetings/programs, preparing flyers and electronic mail notifications for meetings/educational programs/, preparing and distributing materials for programs/meetings. Receives and screens mail and supply shipments in accordance with departmental procedures. Provides informational assistance to callers and visitors as appropriate. Takes messages and delivers them accurately. Commits to educational growth by upgrading knowledge on an ongoing basis.


QUALIFICATIONS:


High school graduate or equivalent. College degree preferred. Excellent organizational skills and excellent communication skills/interpersonal skills. Very proficient in computer skills (i.e. WordPerfect, Windows, MS Office). Ability to act independently and handle multiple departmental working relationships. Ability to effectively prioritize and execute multiple projects at one time in an efficient manner and on a timely basis. Ability to handle confidential matters, exercising discretion and diplomatic courtesy. Minimum of 1- 2 years secretarial experience, preferably in a legal, insurance or hospital environment preferred.
