Accountabilities

1.Type letters, statements, narratives, statistical reports, agendas, etc. for managers and employees of department(s) supported ensuring confidentiality as required. Independently draft routine reports, correspondence, memoranda, etc. for signature.

2.Create and maintain records, database and files including, but not limited to, confidential personnel information, reports, budgets, projects, etc. Maintain system to track budgets, expenses, etc. as required.

3.Maintain office supply procurement and distribution. May be responsible for tracking office supply budget.

4.Schedule appointments and maintain multiple calendars. Coordinate business travel arrangements, logistics and on/off-site meetings or conferences.

5.Open, sort and distribute incoming mail (hard copy and e-mail) routing to the appropriate individuals for action. May draft correspondence, memoranda, etc. as required. Distribute outgoing mail as required.

6.Provide training and act as mentor to other administrative support within area(s) of support.

7.Initiate process improvement recommendations which can effect an entire sub-functional area.

8.Shift working/support for multiple time zones required

9.Maintain & data entry for systems used by legal department (training provided)



  1. Performs other related duties and projects as assigned or required.

Qualifications

1.Bachelor's degree in any course

2.Previous secretarial experience supporting multiple departments and/or multiple managers and/or employees

3.In-depth to expert knowledge in one or more of the Microsoft Office suite of products including, but not limited to, MS Word, Excel and PowerPoint

4.Familiar with Internet; Technology savvy

5.Proficient in English both written and spoken
