Job Summary:

Performs secretarial and administrative support of complex, sensitive and confidential matters; functions as a liaison for Legal Counsel in maintaining files, calendars and deadlines; triaging incoming requests and researching resolutions.

Job Responsibilities:

  • Performs secretarial and administrative support of complex, sensitive and confidential matters in a fast paced legal environment.

  • Functions as a liaison for Legal Counsel in maintaining files, calendars and deadlines: triages incoming requests and researching resolutions.

  • Exhibits proficiency in using electronic databases involving legal matters, including but not limited to, litigation, risk management, corporate governance, contracts, and other highly confidential information, including Protected Health information.

  • Prepares initial drafts of routine documents, minutes and correspondence; proofreads and edits material with a high degree of accuracy.

  • Manages multiples calendars and telephone lines.

  • Coordinates necessary travel arrangements and travel expense reimbursement.

  • Follows up on tasks or actions as required by Legal Counsel.

  • Supports the Law Department supervisor and one or more Legal Counsels.

  • Other duties as assigned.

Education:

  • High School Diploma or GED
  • Associate's Degree or equivalent formal training in Secretarial Science may substitute for up to 3 years of required general office experience.

Complexity of Work:

  • Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision

  • Must be able to work in a stressful environment and take appropriate action

  • Knowledge and experience of a variety of PC and or word processing systems

  • Excellent interpersonal skills and strong oral and written communication skills

  • Strong organizational skills to coordinate multiple activities

Work Experience:

  • Minimum of 10 years general office experience, including 5 years of experience working in a law firm, attorney's office or other legal environment.

  • Requires demonstrated typing proficiency of 55 wpm with accuracy

Follows established standards, procedures and practices and gives specific patient care directions to nursing and other care staff. Functions in a dependent relationship with a practitioner or group of practitioners licensed by the Board of Medicine or Osteopathy and performs tasks traditionally performed by the practitioner. II. Major Duties and Responsibilities: 1. Complies with established corporate and departmental policies, procedures, objectives, quality assurance methods, and safety codes. Demonstrates compliance with licensing, regulatory and accrediting agency provisions as required. 2. Consistently demonstrates appropriate and professional communication behavior toward patients, customers, and coworkers. Cooperates with Management and peers to promote an environment of teamwork and collaboration. 3. Complies with all applicable rules, regulation, standards and laws relative to Advanced Practice Clinician practice. Maintains current knowledge of scope of practice allowable by Martin Memorial Health Systems, Florida laws and regulations and in accordance with the protocol between Physician and APC. 4. Identifies his/herself clearly and consistently as an Advanced Practice Clinician. 5. Identifies psycho-social and cultural needs of patients and families and assists the practitioner with patient management as required. 6. Assists in providing care and writes appropriate orders. Prescribe or dispense any medication used in the supervising physician's practice as delegated by the supervising physician, unless prohibited by the Florida Board of Medicine or Osteopathy or the Florida Board of Nursing. 7. Writes progress notes on patients' charts indicating patient status and treatment of procedures performed, including discharge planning and completion of discharge planning form. Documents all tasks and procedures performed in appropriate medical record. 8. Performs emergency lifesaving procedures in cases such as cardiac arrest, respiratory arrest, massive hemorrhage, or similar catastrophe. 9. Notifies supervising practitioner regarding any unusual or unexpected events or problems requiring direct physical consultation. 10. Participates in the planning and evaluation of nursing and medical care policies and procedures of the office/center. Confers with physician(s) concerning assigned patients. Keeps physician(s) informed as is appropriate, of needs and problems related to patient care. Instructs patients and families and answers questions. 11. Provides diagnostic and assessment services. Secures a health history from patient and/or family, records findings and critically evaluate them. Performs a complete in-depth physical examination. Uses assessment techniques including observation, inspection, auscultation, percussion, palpation and oto-ophthalmic examinations. Completes annual physical on long term patients. Requisitions laboratory tests and x-ray examinations when appropriate. 12. Maintains professional growth and development through seminars, workshops and professional affiliations. 13. Provides therapeutic services. Confers with other health care providers to prepare a comprehensive patient care plan. Identifies and manage specific illnesses. Provide treatment with established protocols and under supervision of physician(s) as agreed upon in writing. Provides surveillance of medical regimens for chronically ill patients, adjusts regimens within established protocols and recognizes when to refer patient to physician or other health care provider. Arranges and initiates consultations and referrals for patient care problems to physician/specialist for assessment and treatment. Gives direct physical and psychological nursing care. Monitors progress of patients. 14. Provides preventive health care services to long-term patients. Teaches patients and family members ways to improve or maintain their health status. 15. Maintains required records and statistics. Maintains accurate patient records. Charts, documentation for regulatory and administrative purposes and reimbursement for services. 16. Assist with care and maintenance of unit equipment, supplies and work areas. Request maintenance and repair of malfunctioning equipment. Disposes of defective supplies. 17. Attends meetings as required. 18. Maintains annual mandatory education requirements specific to position as mandated by Martin Health System. 19. Performs all other duties as assigned or requested. III. Minimum Requirements (experience, training, and education): To effectively fulfill this position, candidate must meet the following requirements: > Must be Certified and have current, valid Florida Physician Assistant (PA) -Primary Source online verification required directly from State of Florida licensing database. > Current acceptable BLS certification preferred: American Heart Association Basic Life Support for Health Care Provider OR American Red Cross CPR/AED for the Professional Rescuer OR American Red Cross Basic Life Support for Healthcare Providers. > Successful completion of the Martin Health System dependent practitioner application process. > Other certifications as required by specialty of practice. Experience preferred but not required.
