Job Summary

Working under the general supervision of legal counsel, the Legal Assistant provides legal and administrative support for the Company.

Duties and Responsibilities:

  • Coordinates and maintains the content management of lease agreement templates in the lease management system platform (e.g., MERLIN/DOXIE).

  • Responds to inquiries from residents and property teams regarding leasing agreements (e.g., animals and pets, resident complaints, property disturbances, damages).

  • Interacts with property staff to gather information related to legal compliance.

  • Serves as main liaison between the Legal Department and the properties for assistance animal requests.Administers the assistance animal verification process in company's case management system (e.g., ServiceNow).Maintains documentation, tracks status, and prepares analytics related to assistance animal requests and decisions.

  • Drafts liability releases, early lease termination agreements, and other documents at the discretion and direction of legal staff. Manages Arbitration Opt Out letters and ensures approved letters are uploaded to Yardi and the Risk Management Information System (RMIS) updated.

  • Uses multiple company computer applications (e.g., Yardi, MERLIN/DOXIE, Clearsight RMIS, ServiceNow), including data entry and generating reports.Serves as main point of contact between company and RMIS vendor to address system issues, improvements, and enhancements.

  • Performs other duties as assigned to meet the needs of the business.

Required Qualifications:

  • High school diploma/GED required

  • Two to three years of legal assistant or paralegal experience required

Preferred Qualifications:

  • Legal assistant or paralegal experience supporting in-house corporate legal department strongly preferred.

  • Associate's or Bachelor's degree in paralegal studies or related field preferred.

  • Paralegal certification preferred

Knowledge, Skills, and Abilities:

  • Knowledge of commonly-used legal processes, practices, and procedures

  • Technical savvy with which to learn and operate multiple software applications (e.g., content management) and HTML

  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint)

  • Professional and effective verbal and written communication skills

  • Ability to prioritize, manage multiple tasks and projects, and meet deadlines

  • Critical thinking and problem-solving skills

  • Analytical skills and attention to detail

  • Customer service orientation

  • Ability to maintain confidentiality and maintain appropriate discretion

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

  • This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • Regular and punctual attendance to ensure customer service, teamwork, and maintenance of quality standards.
