The Legal Assistant provides high-level administrative support to LCMC legal staff by preparing reports, handling information requests and performing clerical duties. Preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, etc. Coordinates requests for legal work from LCMC affiliates, reviews and processes legal invoices and works with specialized legal management software.

Your Everyday

Secretarial and receptionist duties for legal staff at LCMC:

  • Serves as liaison for the healthcare related operations personnel, physicians, professional healthcare organizations and attorneys to facilitate the accomplishment of LCMC's mission and goals.
  • Manages legal calendars, schedules and confirms appointments. Determines priorities independently or in consultation with attorneys in the Legal Department.
  • Assists one or more attorneys in calendar management, builds travel time into the schedule, etc.
  • Coordinates internal and external meeting arrangements, including invitation and registration process, facilities, catering and logistics, as well as travel and hotel arrangements as needed.
  • Compiles meeting agenda, gathers information (often of a highly confidential nature) from multiple sources and ensures that materials are assembled and distributed.
  • Organizes, indexes and assembles documents, reports, exhibits and other materials in response to subpoenas and production requests.

Coordinates requests for legal work, reviews and processes legal invoices and works with specialized legal management software:

  • Processes requests for legal work from various departments of LCMC.
  • Works with operations personnel to ensure that complete information is provided to the legal department.
  • Enters data into, maintains and manages legal management software with regard to work requests and runs reports.
  • Assigns projects to appropriate attorneys.
  • Manages intake, approval and payment of legal invoices.

Compiles and maintains data, correspondence and documentation:

  • Gathers information from internal and external sources. Organizes and tabulates data, often of a highly confidential nature.
  • Establishes, organizes and maintains hard copies and computer files, often of a sensitive or confidential nature.
  • Assists in preparing, proofing and finalizing transactional documents, memoranda and correspondence.
  • Assists with preparation and filing of amendments, annual reports, tradename and trademark application, etc. with the state secretaries.

Minimum:

MINIMUM QUALIFICATIONS

  • Required:High School Diploma/GED or equivalent OR 2 years of relevant legal or executive office experience.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of MS Office Suite.
  • Exemplary interpersonal skills.
  • Discretion.
  • Professional demeanor and presence.
  • Excellent organizational skills.
  • Database experience.
