This is a full-time, FLSA non-exempt position with the Carson City District Attorney's Office. Under general supervision of the Supervising Legal Assistant, provides customary and/or confidential legal office support to the District Attorney's Office.

Employees may choose between the following:

Employer-Paid PERS:$20.0274 - $30.0412 hourly / $41,656.94 - $62,485.80 annually

Employee/Employer-Paid PERS:$23.7683 - $35.6527 hourly / $49,437.96 - $74,157.72 annually

Examples of Duties

DISTINGUISHING CHARACTERISTICS

This is the entry level in the Legal Assistant series. Incumbents are expected to perform a wide range of criminal, delinquency, dependency, and civil legal support duties in the District Attorney's Office. Specifically, Legal Assistants are responsible for managing all aspects of cases files, compiling and disseminating evidence as directed, reviewing pleadings and correspondence, and accurate calendaring.

This class specification lists the major duties and requirements of the job and is not all-inclusive. Incumbent(s) may be expected to perform job-related duties other than those contained in this document and may be required to have specific job-related knowledge and skills.

  • Reviews, organizes, and disseminates a wide variety of legal documents to include legal agreements, contracts, complaints, orders, reports, videos, discovery, etc.

  • Drafts pleadings, petitions, statements, subpoenas, briefs, correspondence, memoranda, audio transcriptions, and other legal documents.

  • Calendars and schedules court dates, meetings, and appointments for attorneys.

  • Attends court hearings and ensures accuracy of court docket.

  • Ensures timely and proper filing of pleadings, exhibits, and other legal materials with the appropriate court.

  • Reviews finished pleadings and memoranda for completeness, accuracy, format, and compliance with applicable court rules.

  • Communicates with staff from other agencies, businesses, law firms, and/or witnesses at attorney direction.

  • Maintains and updates case notes and files.

  • Prepares weekend court docket on a rotating assignment.

  • Responds to inquiries regarding cases in person and over the telephone.

  • Prepares presentation materials, exhibits and binders for trial, arbitration, or other contested hearings.

  • Performs closing and auditing of case files.

Typical Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience:

High School Diploma or GED AND one (1) year of clerical or administrative experience in a legal or court office; OR an equivalent combination of education, training and experience as determined by Human Resources.

REQUIRED CERTIFICATES, LICENSES, AND REGISTRATIONS:

  • A valid driver's license

Required Knowledge and Skills

  • Knowledge of and ability to use a variety of computer programs including case management, court calendaring, word processing, data entry and/or standard report generation.

  • Ability to use basic arithmetic to calculate briefing deadlines.

  • Knowledge of and ability to use correct business English, including spelling, grammar, and punctuation.

  • Knowledge of and ability to use legal office terminology, processes, procedures.

  • Knowledge, skill and ability to format legal documents.

  • Skill and ability to effectively communicate with a variety of individuals from various socioeconomic, ethnic and cultural backgrounds, in person and over the telephone.

  • Ability to independently organize daily tasks and prioritize medium and long-term assignments.

  • Skill and ability to ensure completeness and accuracy of case files and communicate effectively and consistently with assigned district attorneys.

  • Skill and ability to establish, maintain and update case files, and compose correspondence independently.

  • Ability to prepare clear and concise reports, correspondence, and other written materials.

  • Ability to use initiative within established procedural guidelines.

  • Ability to organize, prioritize, and coordinate work activities and meet critical deadlines.

SUPERVISION RECEIVED AND EXERCISED:

Under General Supervision- Incumbents at this level are given assignments and objectives that are governed by specifically outlined work methods and a sequence of steps, which are explained in general terms. Legal Assistants are responsible for achieving assigned work objectives. Immediate supervision is not consistent, but checks are integrated into work processes and/or reviews are frequent enough to ensure compliance with instructions.

PHYSICAL DEMANDS & WORKING ENVIRONMENT:

The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

This position must work at the District Attorney's physical office, subject to change at the supervisor's, Chief Deputy District Attorney's or District Attorney's discretion. The standard working hours are 8:00 a.m. to 5:00 p.m. Monday through Friday. Must be available to work on Sunday mornings and the occasional holiday on a rotating basis. Mobility to work in a typical office setting, use standard office equipment and stamina to sit or stand for several hours at a time; mobility to move several hundred yards to and from the Court or Clerk's Office to complete filings and other duties; strength to lift and carry up to 20 pounds; vision to read printed materials; and hearing and speech to communicate in person or over the telephone; mobility and tolerance to weather sufficient to travel to off-site locations for meetings and employee parking.

Supplemental Information

CONDITIONS OF EMPLOYMENT:

  • All new employees will serve a probationary period of twelve (12) months. Such employees are not subject to the collective bargaining agreement and may be laid off or discharged during this period for any reason.

  • Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

  • Any City employee may be required to stay at or return to work during emergencies to perform duties specific to this classification or to perform other duties as requested in an assigned response position. This may require working a non-traditional work schedule or working outside normal assigned duties during the incident and/or emergency.

  • Employees may be required to complete Incident Command System training as a condition of continuing employment.

  • New employees are required to submit to a fingerprint based background investigation which cost the new employee $48.25 and a drug screen which costs $36.50. Employment is contingent upon passing the background and the drug screen.

  • Carson City participates in E-Verify and will provide the Social Security Administration (SSA) and, if necessary, the Department of Homeland Security (DHS), with information from each applicant's Form I-9 to confirm work authorization. All candidates who are offered employment with Carson City must complete Section 1 of the Form I-9 along with the required proof of their right to work in the United States and proof of their identity prior to starting employment.
