The Office of General Counsel (OGC) is seeking a dependable and conscientious individual to provide legal support to the prosecuting attorneys within the Allentown legal office of the Pennsylvania State Police, assigned to assist the Bureau of Liquor Control Enforcement.The Pennsylvania State Police, Bureau of Liquor Control Enforcement (BLCE) is responsible for enforcing the Liquor Code and related regulations of the Pennsylvania Liquor Control Board (PLCB), the Crimes Code and other laws of the Commonwealth at businesses that have liquor licenses issued by the PLCB. OGC, through PSP's Office of Chief Counsel, is responsible for providing legal services to the BLCE.

This is accomplished through four legal offices located in Pittsburgh, Harrisburg, Allentown, and Philadelphia. Each office is staffed with two or more Assistants Counsel, a Legal Analyst and a Legal Assistant, all of whom are supervised by the Deputy Chief Counsel based at the Bureau's headquarters in Harrisburg. The attorneys assigned to the Bureau handle the prosecution of administrative citations filed against the licensees which are adjudicated by the PLCB's Office of Administrative Law Judge (OALJ).

The Legal Assistant in each office plays a critical role in the prosecution of these citation cases by supporting the attorneys and helping to ensure the cases remain on track for a timely resolution. The selected candidate will provide clerical and administrative support for the Allentown office, and will have the following responsibilities:

Type and prepare correspondence and legal documents for attorney review.

Intake of new cases, scan documents, and enter status of cases in office spreadsheets.

Assemble exhibits and prepare affidavits needed for pre-hearing memoranda.

Open, stamp and route mail, faxes and emails to the office resource account.

Maintain filing system, including purging of older documents.

Answer the phone, and screen and route calls to appropriate personnel.

Order supplies for office as needed and route any invoices.

Perform other related clerical or administrative duties as required.

This full-time position is telework eligible for up to two days per week. The legal office itself, which is comprised of four OGC personnel, is located within the Bureau's district office, located at 975 Hausman Road in Allentown. The position is based at our Allentown, PA headquarters and the individual selected for this position will be accountable in the following areas: Commercial / Transactional Attorney Support Area: * Scheduling meetings, arranging travel, processing expense reports, ordering supplies, handling printers, etc. * Being responsible for the Law and CSO share sites: granting and removing permissions to sites * Ordering laptops, email accounts, miscellaneous set-up for new employees * Serengeti System: Creating and closing matters; processing invoices manually and in Serengeti, etc. * Collecting information and preparing various reports * Supporting our South America region to include printing and translating documents, circulating documents for signatures, and returning to requesting party * Assisting other team members with word processing support - converting documents, running compares, handling formatting issues Corporate Secretary's office (CSO): * Extensive word processing and share site work * Preparing all related books for Board meetings * Managing Directors Desk System, which includes creating meeting agenda, loading and proofing materials, problem resolution * Handling travel preparation and logistics for and during Board meetings * Preparing final Board and Committee minutes for signature * Preparing final agenda materials * Preparing Action Memos for circulation * Assisting with Annual Shareholder meeting and with meeting preparation * Maintaining the CSO Website * Assisting with preparing and mailing Director & Officer questionnaires * Assisting with preparing Insider Trading Memos and maintaining active 10b-5 list * Tracking/Filing of Original Company Contracts * Managing CSO billing and facsimile inbox Key Qualifications: * Minimum of 5 years of experience supporting partners and/or senior executives * Previous experience working with highly confidential and sensitive information required. Discrete and professional. Ability to upholds high ethical standards. * Exceptional verbal and written communication skills. Strong relationship management skills. * Advanced proficiency in Microsoft Office Suite Products inluding Work, Excel, PowerPoint, SharePoint, and ability to quickly learn and master systems. Exceptional word processing skills. * Able to work long hours whenever needed, especially when critical deadlines need to be met (i.e. Board posting weeks, Board weeks, etc.).
