What You'll Do:

Provide Administrative Support. Perform clerical tasks as needed.

Organize calendars and schedules for the department. Process expense reports and invoices. Manage complex meeting and travel arrangements.

Create Presentations. Prepare PowerPoint presentations, including preparing and incorporating charts created from Excel and/or Tableau.

Manage Files. Utilize electronic document management systems, e.g. eDOCS, for file management and litigation file management.

Draft Legal Documents. Prepare the first draft of routine documents, including legal documents.

Administer Compliance and Other Databases. Serve as the administrator of the Company's compliance helpline database and the compliance due diligence database, and otherwise assist in the administration of other Company databases.

Input necessary information into and generate reports from the databases, as needed. Assist compliance attorney(s) in preparing reports to the Audit Committee.

Assist with Compliance Survey. Assist with the Company's periodic compliance survey distributed to all employees. Coordinate with the Learning Management System (LMS) hosted by the Management & Organization Development Department.

Maintain Company Knowledge. Maintain a working knowledge of the Company, its operating divisions, its subsidiaries, its procedures, and key internal client contacts. Stay abreast of any changes in Legal Department procedures.

Skills You'll Need:

Education. Must have a high school diploma. Paralegal certification is preferred, but not required.

Experience. Must have a minimum of 3 years of relevant experience.

Technology Skills. Must have superior Microsoft Office skills, including Word, Excel, PowerPoint, and Access. (Proficiency in Google Mail, Google Calendar, and Google Hangouts a plus). Must have the ability to learn and effectively use new software applications and internet-based programs quickly.

Writing Skills. Must have strong writing skills, exhibiting good command of the English language and excellent grammar skills.

Interpersonal Skills. Must exhibit a professional appearance and demeanor. Must have outstanding communication skills and demonstrate the ability to communicate effectively with personnel at all levels within and outside of the Company.

Time Management Skills. Must have the ability to work quickly and under the pressure of multiple deadlines. Must have the ability to manage conflicting priorities.

Functional Knowledge. Must have knowledge of document formats of a legal nature, including contracts, briefs, and closing documents. Must understand technical legal terminology.

Confidentiality. Must have the ability to maintain highly confidential information in the strictest of confidence. Must display high ethical standards, professional integrity, and discretion.

Responsibilities and Essential Duties include the following (other duties may be assigned): * Provide general administrative support to Treasury managers and employees * Retrieve daily bank reports * Input data from bank reports on Daily Banking Transaction Spreadsheet which calculates planned cash position * Send correspondence to bank on investment or redemption request based on the planned cash position (time sensitive with deadlines) * Complete Daily Banking Transaction package with J/E sheets generated from the Daily Banking Transaction Spreadsheet * Update various bank related spreadsheets * Check actual bank activity to planned activity and complete daily cash position analysis report * Set up book transfers as needed * Initiate wires requested * Retrieve positive pay exception reports from bank, communicate exceptions, and input decisions * Initiate stop pays - (verify check not cleared before issuing stop, and determine most cost-effective method based on the situation) * ACH transfers * Complete cash receipts for bank to process * Balance RDC and all other cash receipts from cash receipts payment application software * Conduct bank correspondence, administration, and research on various bank accounts, including short term investments, escrow accounts, letters of credit, etc. * Organize monthly statements and follow up on any missing statements. Update spreadsheets from the statement information Education - Skills - Knowledge - Qualifications & Experience * High school diploma required / Bachelor's degree preferred * Minimum of 3 years of experience in an office environment - accounting, banking or finance department experience is strongly preferred * Excellent working knowledge of Excel * Ability to work well with numbers * Excellent communication skills * Initiative, discretion, tact, and adaptability to manage multiple task with time sensitive deadlines * Attention to detail * Ability to multitask * Ability to work on company holidays that are not bank holidays The above description covers the principal duties and responsibilities of the job.
