In this position you will be responsible for all leave operations including implementation, administration, and communication of the Company's leaves. As the Leave of Absence Specialist, you will ensure that plans are administered consistent with company objectives and strategy and ensure that all plans are in compliance with federal, state and city regulations.
Design and develop policies, processes, tools, and procedures for the successful and effective management and administration of all absences including return-to-work and accommodation support and coordination.
Monitors and researches leave programs in the market and develops strategic plans for future leave program consideration.
Communicates and promotes the understanding of all of the company's leave programs and incorporates wellness/healthy living initiatives for all employees and dependents.
Advises and serves as main point of contact and subject matter expert for managers, employees and HR on all processes and procedures required for US leave of absence management and other accommodation requests, complex cases, and unique circumstances.
Manages and follows each step of the employee's leave of absence. Acts as liaison between employee and employer and ensures that proper paperwork is completed by both parties. Provides regular status reports on active cases to all stakeholders.
Communicates with managers on status of leave and accommodations and provides updates regarding return to work plans.
Facilitates issue resolution with manager, employee, HR Business Partners and Legal as needed.
Maintains proper documentation on all manager and employee interactions related to cases.
Verifies employee HR system and payroll records are updated appropriately. Perform audits to ensure HR system and payroll leave information is correct and reconciled.
Remains current on federal, state, and local law requirements relating to leaves of absence and accommodations to ensure regulatory compliance of all leave programs.
Maintain knowledge of regulatory and compliance requirements impacting absences including disability and discrimination laws and ensure compliance with all relevant laws, regulations, policies, and other government requirements and standards (FMLA, ADAAA, USERRA, Pregnancy Discrimination Act, etc.).
As the process owner, recommends and implements process and quality improvements as needed, including changes to vendor responsibilities and contracts.
Protects employee data and complies with all data privacy processes and regulations.
Works with Benefits Manager and colleagues to agree, create, document and adhere to a high-level global framework for consistent tracking of leave cases.
Works with employees, payroll and third-party benefits administration vendor in collection of benefits premiums while employees are out on unpaid leave. Monitors benefits repayments and terminates benefits when appropriate for failure to pay.
Bachelor's degree required
Minimum of 5 years of professional working experience
5 to 7 years' experience administering leave of absence benefits and accommodation requests; with a minimum of 2 years of experience working with US federal, state and local employment laws and regulations including but not limited to FMLA, ADA and other disability laws, including New York and California leave laws
Advanced degree and PHR/SPHR qualification preferred
Knowledge and understanding of Canadian Provincial and federal employment laws and regulations, preferred
Demonstrated problem solving, judgment and conflict resolution skills with the ability to provide high quality independent analysis, conclusions, and recommendations
Demonstrated success in managing outsourced 3rd party vendor relationships, contracts and deliverables
Highly team-oriented in working with all levels of employees, including senior managers
Ability to quickly build trusting relationships, gain credibility, and partner with leaders and peers
