Primary Purpose of Position:

Oversee the marketing and leasing activities for assigned assets. Develop and implement a property level business plan in accordance with established objectives and goals related to leasing activity. Identify, negotiate and close lease transactions for assigned properties.

Essential Functions:

  • Negotiate deal structure and leases and prepare proposals for new and renewing tenants.

  • Identify and close new lease transactions.

  • Oversee and coordinate responses to Request for Proposals including writing Letters of Intent.

  • Maintain an accurate, in-depth knowledge of all aspects of assigned properties including all vacancies, major tenants and major lease expirations.

  • Effectively articulate the features and benefits of the properties to potential user groups, brokerage firms and financial lenders through presentations, meetings and tours of space.

  • Develop marketing materials to re-lease existing space, and promotional materials for new developments in conjunction with architectural/graphic design firms, writing consultants and exclusive brokers on projects.

  • Work with architects on design construction of tenant spaces.

  • Analyze and prepare quarterly income budgeting reports in conjunction with leasing department staff.

  • Develop and prepare weekly marketing status reports and survey reports.

  • Analyze, prepare and implement property level business plans in accordance with established goals and objectives for assigned properties.

  • Implement leasing and marketing programs including supervision of exclusive brokers on projects.

  • Assist in the development and implementation of a strategic marketing plan for assigned assets.

  • Analyze and prepare Net Effective Rent spreadsheets.

  • Develop networks and maintain strong, active relationships with current tenant base and brokerage community.

  • Participate in asset team meetings with Construction, Development, and Property Management, Accounting and Finance.

  • Actively bring the marketing and leasing perspective to the ongoing management of the asset.

  • Partner with leasing department staff to create and maintain identity and market presence for assigned assets.

  • Assist in preparation of Lease Abstracts.

  • Interface with property managers on tenant relations, building management and code related issues.

  • Ensure Costar listings are updated and accurately reflect the portfolio.

Non-Essential Functions:

  • Participate in relevant organizations such as NAIOP, CBA and Chambers of Commerce in portfolio markets.

  • Perform other duties as assigned.

Requirements and Qualifications:

  • BA/BS degree required.

  • A minimum of 0 to 3 years of related experience in leasing, brokerage, or marketing preferred.

  • Financial aptitude and desire to perform some financial analysis required.

  • Knowledge of and familiarity with office markets helpful.

  • Valid driver's license required.

  • Ability to interact with co-workers, contractors, tenants or vendors in an articulate, courteous and business-like manner at all times.

  • Ability to work under pressure.

  • Ability to work independently, as well as part of a team, to further organizational goals.

  • Effective problem solving skills.

  • Strong written and oral communication skills.

  • Strong organization and multi-task management skills.

  • Intermediate to advanced computer skills with knowledge of Microsoft Word, Excel and Lotus Notes.

Physical Requirements:

  • Involves work of a general office nature usually performed sitting such as operation of a computer.

  • Involves work of a general office nature usually performed standing such as operation of a fax and printer.

  • Involves work such as tours of office space throughout property portfolio usually performed by walking, by climbing stairs and by operating a motor vehicle (car), the latter usually performed while sitting.

  • Involves movement between departments to facilitate work.

Internal and External Contacts:

  • Internal contact with all departments in assigned regional office, leasing and marketing staff in other regional offices, and various departments in corporate office.

  • External contact with brokers, tenants, investor partners, lenders, and REIT investors.

Reporting Structure:

  • This position reports to a Vice President, Leasing who provides supervision and guidance, and evaluates performance on a periodic basis.

Responsibilities include answering incoming phone calls, scheduling property tours with prospective residents, and following up with those prospects. Good communication skills, marketing experience, excellent customer service skills, and computer skills are required. Working knowledge of Entrata is a big plus. Other responsibilities include, but are not limited to: * Answer all incoming phone calls professionally and convert prospective residents from phone traffic into physical traffic. * Send thank you notes/emails to all prospects and follow up with phone calls until they have leased elsewhere. * Walk move-ins at least two days prior to move-in and note any service requests. * Accept rental applications and complete credit verifications for Property Manager's final approval according to policy. Take security deposits immediately upon leasing the unit. * Acquire extensive knowledge of the property, the neighborhood, local schools, etc., to assist in leasing. * Walk available units and models daily to ensure a perfect product. Open blinds, turn on lights, air conditioning or heat, and freshen. Inform maintenance supervisor of any needs or concerns in unit. * Walk the property and report any liability problems noticed immediately. * Maintain complete lease files. Prepare all lease documents for move-ins prior to move-in according to policy. Keep sufficient supply of leasing materials available. * Prepare all traffic reports, guest cards, etc., as required by Hanover. Record all traffic, leases, move-ins, move-outs and renewals on the required forms or in the system. * Acquire extensive knowledge of our Rental Application, Rental Agreement (Lease), Rules and Regulations, etc., to discuss in detail with the new resident. * Maintain resident relations programs as defined by supervisors. * Prepare Weekly and Monthly Market Surveys on a timely basis as required by the corporate office and use this knowledge to help maintain a competitive occupancy and rental rate. * Perform any and all duties called upon by supervisors to ensure that the property operates in an efficient and economic manner. * Represent property and Hanover professionally through dress and behavior.
