ABOUT PROPERTY MANAGEMENT
The Property Management team is responsible for operating and maintaining our beautiful communities, but beyond that, they are relationship builders and the heart and soul of MidPen. PAY RANGE
$65,000 - $81,000 Annual Salary - Pay based on applicable experience and qualifications
POSITION OVERVIEW
This position reports to the Senior Leasing Director in the Property Management Division of MidPen Housing Management Corporation. The primary responsibility of the Leasing and Occupancy Manager is to ensure only eligible applicants are approved for move in at a community during initial Lease-Up and that all supporting documentation is maintained in the Tenant File. This position requires a minimum of 2 days/week of on-site presence at active lease-ups. The Leasing & Occupancy Supervisor will lead the Leasing & Occupancy Team and Intake Associates Team in all Lease-Up related functions, including but not limited to hiring, onboarding, coaching/training, and counseling. The Leasing & Occupancy Supervisor must be able to use independent judgement in daily tasks and communicate regularly with the Leasing Director assigned to the specific project.
ESSENTIAL DUTIES
Responsible for team of Leasing & Occupancy Specialists and Intake Associates to process applicant files to meet the Lease-Up goals, in close collaboration with the Leasing Director. This includes interviewing, processing, and reviewing files for Lease-Up Communities
Leasing and Occupancy team responsible for approving Lease-Up Files
Works closely with on-site staff to assist in the successful se-tup of the Lease-Up temporary space, file storage and physical set up
Completes Waiting List Analysis at Initial Lease-Up. Ensures that Intakes are scheduled with the appropriate applicants based on requirements outlined on Compliance Project Summary and Funding Layer Matrix
Monitors propertys Move-In certification process to ensures compliance (per Compliance Project Summary and Funding Layer Matrix), and all resident information is handled confidentially in accordance with MidPens policies
Maintains the propertys Funding Layer Matrix
Establishes effective communication channels with Leasing Director to ensure Leasing Director is aware of File progress details
Assists in building a positive team atmosphere
Participates in Monthly Milestone Meeting Series and specific meetings as agreed upon with Senior Leasing Director. Provides weekly updates through reporting
Ensures site software is used to enter all relevant applicant transactions in a timely manner
Assists in responding to File and Compliance related inquiries, as needed. Escalated items are forwarded to Compliance Team
Assists Senior Leasing Director in creating tracking reports and procedures to increase productivity
Assists in facilitating Compliance Training as needed in collaboration with Compliance File Review Team to ensure most up to date information is provided
Provides a second review with feedback and findings on Files for Leasing & Occupancy Specialists and Intake Associates
Facilitates a Hand-Off Meeting to permanent staff to present the Finalized Waitlist, Denial Binder, and completed physical Files, to ensure continuity throughout the stabilization phase of the property
Use the Third-Party Vendor audit findings for training and lessons learned for the team. Third-Party vendor process and corrections remains a process with Compliance File Review Team and CM
Performs other duties as assigned
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the education, knowledge, skill, and/or ability required.
Education and Experience
Bachelors Degree in Business Administration, Real Estate, or related field or any combination of 5+ years of the following: compliance, property management experience, knowledge of affordable housing, or LIHTC/HUD compliance regulations
Certified Tax Credit Specialist
Certified Occupancy Specialist
Blended Occupancy Specialist certifications preferred
Knowledge, Skills, and Abilities
Ability to travel between properties
Prior experience with property management software, i.e., RealPage, Boston Post
Demonstrates customer service experience
Demonstrates organization and planning skills with the ability to work on multiple projects to meet deadlines
Ability to work under pressure
Strong communication skills, written and verbal
Proficiency in Excel and Microsoft Word.
Must possess a valid California Drivers License, proof of current auto insurance, and reliable transportation
