Based out of Alexandria's headquarters in Pasadena, CA, the Lease Administrator for our Alexandria LaunchLabs platform will be a detail-oriented, and highly-skilled individual. The incumbent will be primarily responsible for supporting Alexandria LaunchLabs by interfacing with Alexandria's corporate departments (legal, accounting & finance), Alexandria LaunchLabs site leadership, its tenants, and external vendors and contractors. This individual will have prior experience handling leases, contracts, invoices or other similar legal documents, ideally within the real estate or asset management field, and be familiar with general lease verbiage and concepts. Excellent communication and organizational skills will be highly beneficial.

Essential Duties and Responsibilities:
Manage and be responsible for ongoing contract administration related to leasing and vendor services. The incumbent will coordinate with multiple LaunchLabs locations throughout the United States and ensure accuracy and timely completion.
Responsible for the completion of form leases, amendments, and exhibits.
Coordinate with corporate legal, accounting and financing groups on behalf of LaunchLabs locations.
Ensure the collection and subsequent filing of counter signed agreements in a timely manner.
Managing the document execution process, including, but not limited to scanning and distribution of final leases and amendments to relevant parties.
Review, in conjunction with the LaunchLabs site leadership, pre-invoice reports.
Develop process and procedures to improve the efficiency of the workflow around lease execution, including use of Salesforce and other software systems.
Track ongoing account receivables and payables, insurance contracts and vendor contracts, ensuring accuracy and timely completion. Work with each LaunchLabs site leadership to resolve outstanding items. Distribute monthly tenant invoices to and field questions from all LaunchLabs tenants. Initiate tenant notification letters and e-mails as needed.
Maintain tenant statement/rent/bill-back files.
Complete tenant lease summaries.
Assist in annual budget preparation and analysis.
Responsible for the drafting and negotiation of vendor contracts and purchase orders.
Assist with management of third party service providers and property amenities.
Maintain current and complete certificates of insurance for all tenants and all vendors.
Review all limits, coverage types, expirations and additional insured for compliance.
Participate in accounts payable process, including but not limited to preparation of new vendor set ups, and notification of contractors/vendors of appropriate remittance address.
Audit open purchase orders and maintain log on a monthly basis.
Review monthly tenant posting reports and provide comments to Asset Manager.
Various special projects and legal contract administrative projects, as assigned.
Qualifications and Experience:
Bachelor's degree, strongly preferred.
Minimum 2-3 years of contract and/or lease administration experience, real estate or asset management industry experience, a plus.
Must have strong organizational skills, be detail-oriented, and strive for constant improvement.
Strong accounting background and familiarity with lease provisions and lease administration
Proficient in Microsoft Office products (Word, Excel, Outlook).
Must have excellent communication skills, written and verbal and be able to interact with all levels including, but not limited to senior management, outside consultants and vendors, etc.
Possess excellent interpersonal skills, and the ability to work closely with other team members and interact regularly with a variety of Company related personnel, vendors, etc.
Must possess a positive attitude, be proactive, and have the ability to work in a fast-paced environment, prioritize, and meet deadlines.
Strong time management and prioritization skills.
Experience with JDE, Yardi (or other property management account software).
