Description

Job Summary: We are seeking a Learning & Development Coordinator at our Tulsa, OK location to support employee development initiatives. This person is responsible for ensuring quality and consistency in supporting all learning events and programs. A successful candidate will have a customer service mindset, strong communication and collaboration skills, and the ability to handle multiple requests. In a typical day, you'll support the full lifecycle of learning and development programs from intake requests, communication with and support to participants for training courses, coordination of training sessions and workshops (from room arrangements, production of materials, to catering and post-event tasks) while keeping the team organized.

Essential Job Duties and Responsibilities:

  • Supports the planning and implementation logistics of in-person and virtual workshops, conferences, meetings, technical assistance, and other skill building projects that serve AAON's workforce and stakeholders.

  • Arranges budget preparation, coordination with AAON staff, booking of venue, vendor contracts, meeting platform logistics, electronic distribution of materials, and online registration forms.

  • Provides trainer/facilitator support for virtual and in-person training, such as scheduling, videoconferencing support, audio-visual support, contracting & travel arrangements when applicable.

  • Delivers day-to-day administration of various developmental training programs through AAON's Learning Management System (LMS).

  • Follows through with applicable process(es) to ensure professional accreditations or continuing education credits are applied to trainings as required. Creates, scans to Company records/software, and mails, as appropriate, certifications received by employees.

  • Prepares for and supports participants in AAON's programs both for in-person and virtual training, including confirmation communications, preparation of handout materials, evaluation forms, attendance monitoring, certificates of attendance and their distribution. Provides on-site staff support for check-in, and prepares name tags, sign-in sheets, room, signage, presentation equipment and materials. Communicates to employees regarding their scheduled training and tracks their progress.

  • Creates online evaluation forms, analyzes, and reports on evaluation information, reports attendance, and other required department and company reporting.

  • Works with content and subject matter experts to implement Learning & Development projects and programs, including the creation, revisions, and monitoring of materials and associated SME contributions.

  • Provides excellent customer service and support at all times and through various channels (by phone, email, virtually, and in person) for events and projects.

  • Coordinates department training needs and creates master training schedule for the company.

  • Coordinates event-specific, monthly, or quarterly reporting for projects, program evaluation reporting, participant lists, and other reports required by program managers.

  • Occasionally assists the Learning & Development Manager with planning and implementation of programs in different locations or assists with other employee development programs across AAON.

  • Performs other duties as assigned.

Qualifications

Education and Experience Requirements:

High School diploma or GED equivalent required; some college preferred; and 5 years' administrative assistant experience; Learning & Development experience preferred.

Knowledge, Skills, and Abilities:

  • Strong organizational, time management and multitasking skills.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office products and calendar management tools.

  • Excellent attention to detail and accuracy in all tasks.

  • Ability to work both independently and as part of a team.

  • Ability to maintain confidentiality and use discretion.

  • Ability to adapt and handle changing priorities.

  • Strong interpersonal skills for effective interaction with senior executives, colleagues, and external contacts.

  • Aptitude for optimization and efficient work processes.

  • Strong customer service and collaboration skills.

Work Environment:

  • Ability to sit or stand for extended periods during working hours.

  • Ability to lift and move objects up to 20 pounds.

  • Work may require periodic visits to the manufacturing facility with seasonal hot and cold temperatures, dust, noise, and some chemical fume exposure.

  • Work may require travel.
