Overview

Huitt-Zollars' Oklahoma City, OK office has a full-time Lead Project Administrator opportunity. This position requires a minimum of five years' experience preferably with an architectural/engineering firm. The role involves updating project entries, contract modifications composing correspondence, meeting agendas and technical documents; organizing meetings, supervising support staff, and interacting with all levels of staff. Candidate should be proficient with MS Office Suite, Deltek Vision software a+ database system.

Responsibilities:

  • Utilize Deltek Vision for updating project entries, ICA's and contract modifications while working closely with accounting to ensure projects have everything necessary for set up.

  • Prepare project specific insurance certificates.

  • Support Project Managers with arranging travel, interviews and meetings, binding books, following up on collections, drafting correspondence and technical documents.

  • Supervise admin support staff and receptionist.

  • Relieve receptionist - answer and route office phone calls.

  • Act as point of contact with vendors and building management.

  • Purchase and manage office supplies, specialty supplies and kitchen supplies.

  • All general admin duties including but not limited to archive file management, answering phones, mail distribution, meeting room and workspace set up, etc.

  • Enter new projects, opportunity reports and expense reports in accounting Deltek Vision application

  • Project research and assistance with notes, project scheduling, email communication

  • Provide documentation support, draft contracts and assist in bid document process

  • Document management; project file set up, maintenance and archiving

  • Organize meetings and make travel arrangements as needed, meeting notes and transmittals

  • Build relationships with co-workers & team members in order to provide a high level of customer service and continually improve team member satisfaction

  • Maintains strong moral principles and high level of sensitivity with confidential information

Requirements:

  • Minimum 5 years of experience and 2 years of supervisory experience a plus

  • Bachelor's Degree Preferred

  • Strong organization, time management and prioritization skills

  • Proficient in Deltek Vision, Microsoft Office: Word, Outlook, Excel

  • Ability to give meticulous attention to detail and multitask

  • Ability to work independently with minimum supervision and with a team

  • Excellent written and verbal communication skills

  • Flexibility and problem solving skills

Physical Requirements:

  • Occasionally required to lift boxes that are up to 50 lbs. and to set up tables and computer cords in meeting rooms.

This role will work directly with our business community consisting of Sales, Marketing, Operations, and Customer Care to administer and manage the delivery of projects within the frameworks of the Hertz IT Project Delivery and Agile Accelerator processes. Key Result Areas: * Manage approved ITPMO projects and BAU (business as usual) initiatives. Track execution in alignment with expected schedule, cost, and completeness. * Identify and manage administrative needs in the Salesforce environment to complement needs in governance, security, and application reliability. * Create analytical documents and reports, such as project plans, project status reports, requirements, traceability from business requirements to solutions, and logs covering issues, actions, and risks. * Identify and manage administrative needs of the Salesforce environment as impacted by projects and initiatives. * Manage stakeholder expectations as to project scope, schedule, and cost. * Lead across domains to align business stakeholders, Salesforce solution architects, Salesforce administrators, Salesforce developers, and Quality Assurance teams in the execution of project objectives. * Manage project change and work with internal and external IT resources to mitigate the impacts and costs of such change. * Facilitate issue remediation between team members, stakeholders, and external influencers in a forward-moving and productive manner. * Act as a Subject-Matter Expert (SME) on the business projects, logic and potentials of the Salesforce environments. * Lead post-implementation analysis (lessons learned, etc.) and memorialize improvements in a sustainable fashion. * Support the IT PMO and Program Managers to ensure best-practice standards across the portfolio, including remediation of audit issues related to project execution. * Oversee and approve project-related designs, technical/functional requirements, and high-level business documentation. * Understand and work with in the requirements of Salesforce change management, including Sandbox management, change set tracking, and requirements collaboration with architecture and quality teams. * Serve as an advocate of SFDC and its capabilities. * Liaise between internal and vendor technical teams. Mandatory Requirements Educational Requirements: * Bachelor's Degree in Computer Science, Information Systems, Business Administration, or another related field. Master's degree is a plus. * One or more Saleforce certifications preferred (such as Administrator, Developer, Architecture) Professional Experience * Minimum 3 years' experience as a Project Manager in an IT domain * Minimum 1 years' experience as a Project manager within a Salesforce environment * Minimum 1 years' experience in a Salesforce administrator or developer role. * Experience with Apex, CSS, HTML5, VisualForce and APIs is a plus. * Experience with PMI or Prince project management principles. Certification is a plus. * Experience integrating Salesforce with other applications and products. * Strong understanding of Salesforce best practices. * Experience in an Agile development environment preferred * Proficient with MS Word, Excel, Powerpoint, Visio, Project.
