POSITION TITLE: Lead Medical Office Assistant
LEVEL/FLSA: 9, Non-exempt
GENERAL SUMMARY: The incumbent is responsible for ensuring efficient operation of front desk to include customer service, patient scheduling, reception, registration, cash collections, charge entry and direction of medical office assistants.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Essential functions of the job:
Oversees daily performance pertaining to Front Desk providing support as needed.
Responsible for accumulating daily encounter forms and tracking lost or missing encounter forms.
Daily reconciliation of front desk receipts. Reviews encounter forms and appointment schedule to identify all services provided by physicians and nursing staff.
Performs daily reconciliation of all journals and prepare deposit bag deposition sheet.
Schedules and registers patients, takes payments and provides receipts.
Maintains medical records for each patient seen including creating patient charts, pulling charts and filing as backup.
Responsible for entry of encounter forms, resolves TES edits.
Receives and distributes all incoming mail as back up to other staff positions as required.
Answers telephones, screens calls, confirms appointments, maintains appointment schedule following office scheduling procedures. Refers callers to appropriate individuals, and gives routine information in accordance with established procedures.
Administers patient "no shows" and "cancellations "according to office policy; calls to reschedule as appropriate. May follow up with letter to patients for those unable to contact.
Assists patients with insurance forms, which includes making sure all necessary information is provided, and contacting insurance company or patient as necessary.
Provides all medical documentation requested by UPG to assist in billing patient claims to insurance companies within one week of request.
Checks in patients upon their arrival and assures patient information is correct and current.
Checks out patients at their departure and assures accuracy and completeness of co-pays, charges and insurance information.
Serves as a backup for scheduling insurance referrals.
Maintains schedule templates and assure that appropriate blocking and unblocking of schedules is handled.
Other projects and/or assignments as directed.

RequirementsREQUIRED QUALIFICATIONS (Knowledge, Skills & Abilities):
High School Diploma or GED.
Completion of medical terminology course a plus.
Two years previous experience in a medical office setting.
Knowledge and skills:
Basic knowledge of and experience utilizing a personal computer.
Basic word processing skills.
Ability to learn and use telephone, facsimile and copy machine systems.
Prior experience utilizing medical billing software.
