The Lead Medical Assistant (MA) will be instrumental in assisting the Director of Clinical Services, Back Office Supervisor, and Clinic Manager in the clinic's day-to-day operations as it pertains to the medical support role and patient care. This position will demonstrate strong clinical skills and expertise in all relevant systems and processes. They will be expected to model, train, and promote high functioning clinical support staff from all experience levels.

ESSENTIAL JOB FUNCTIONS

  • Assists the Director of Clinical Services, Back Office Supervisor, and Clinic Manager with hiring the most qualified, competent, and patient-centered Medical Assistants (MA) to join the team by participating in the interview process.

  • Assists the Director of Clinical Services, Back Office Supervisor, and Clinic Manager in leading the team on a daily basis, providing a model of positive, compassionate care for our patients and service for our providers.

  • Assists the Director of Clinical Services, Back Office Supervisor, and Clinic Manager in supervising a team of medical assistants by participating in the training, scheduling, mentoring, and completing staff competencies (annual and new hire).

  • Perform chart audits to identify areas for improvement with support clinical staff. This information will be provided to the Director of Clinical Services, Back Office Supervisor, and Clinic Manager for evaluations, workflow development, and quality monitoring.

  • Participate in medical meetings and as a member of committees to help develop relationships with other clinics and represent their own clinic in a positive, professional and collaborative manner.

  • Mentor/Train the MA team to continually improve performance and skill level.

  • Assist with covering the clinical needs of the clinic by providing direct support to the providers in the instances of staff call outs.

  • Assist the Director of Clinical Services, Back Office Supervisor, and Clinic Manager with the development of the MA schedule on a daily, weekly, or monthly basis.

  • Works closely with the Director of Clinical Services, Back Office Supervisor, and Clinic Manager to foster and facilitate a respectful and collaborative relationship between MAs and all clinic staff to successfully meet site specific and organizational goals.

  • Demonstrate and model excellent customer service skills and assist the practice leadership in providing timely resolution to patient concerns as needed.

  • Assist the clinical staff in achieving clinical excellence and promoting a positive work environment.

  • Assist the Director of Clinical Services, Back Office Supervisor, and Clinic Manager to ensure that care provided to patients is patient-centered and mission-focused. This position will continuously look to seek improvement and help to implement best practices.

  • This position will act as a "subject matter expert" in the roles, duties, scope of practice, and workflows of the MA team and will act as a resource for the MAs in the absence of the Director of Clinical Services and Back Office Supervisor.

  • Exercise independent judgment, decision-making and problem-solving expertise.

  • Performs all functions of the MA role as outlined in IHC's Medical Assistant job description and clinical competency checklist.

  • Models a culture of "Speaking Up." Ensures their team abides by the organization's Compliance Program/Standards of Conduct.

  • Maintains strict confidentiality in accordance with IHC Policies, HIPAA, and other relevant laws.

  • Performs all other related projects and duties as assigned by the Director of Clinical Services, Back Office Supervisor, and Clinic Manager.

KNOWLEDGE, SKILLS, AND REQUIREMENTS

  • A competent Medical Assistant who demonstrates skills and knowledge as set forth by the Director of Clinical Services MA competency checklist.

  • Intermediate or advanced computer skills, including knowledge of relevant EMR systems and strong Microsoft Office skills, particularly Microsoft Excel.

  • Commitment to continuous learning in both personal and professional development.

  • Builds camaraderie and fosters teamwork.

  • Strong organizational skills and attention to detail.

  • Possesses excellent leadership and communication skills.

  • Commitment to the practice's high quality, compassionate care of patients.

  • Ability to motivate and retain MAs.

  • Ability to move from project to project with frequent interruptions.

  • High school degree or equivalent required with a medical assistant certification or upon successful completion of an externship at IHC

  • Fluent in English/Spanish and computer skills a plus

  • Minimum 2 years experience in a family medicine residency program, pediatric and family medicine practice, or community health clinic.

  • Excellent organizational and customer service skills

  • Ability to follow written and oral instructions and learn new procedures quickly

  • Ability to stay calm while working quickly and with a high degree of accuracy

  • Flexibility, initiative, and reliability

  • Knowledge of & ability to work with the American Indian community & other minority populations

  • Ability to maintain strict confidentiality

  • Ability to function independently and as a team member within diverse environments as well as with a diverse staff composition.

  • Demonstrated ability to perform multiple administrative functions simultaneously in an accurate, organized, & efficient manner. Ability to multitask & thrive in a fast-paced, constantly changing environment

  • Ability to carry out all responsibilities in an honest, ethical & professional manner and demonstrate good judgment

Physical Requirements:

  • Ability to sit, stand, and walk for extensive periods of time

  • Manual and finger dexterity and eye-hand coordination for nursing care

  • Ability to lift up to 35 pounds

  • Ability to stoop, squat, or bend frequently

  • Corrected vision and hearing within normal range to observe and communicate with patients and professional staff

Working Conditions:

Exposure to all patient elements, including communicable disease and blood borne pathogens. Will be working in a fast paced medical environment which can be stressful and constantly changing conditions. Normal working hours are from 8:00 am until 5:00 pm with one hour for lunch. However, working hours may vary depending upon need.

Will need to be flexible in performing tasks with limited discretion in making judgment decisions.
