POSITION SUMMARY:

Monitor daily clinic flow including employee assignments in addition to specific pod responsibility such as technical and clerical functions. Works closely with Clinical Operations Manager to coordinate employee and physician schedules and assist in promoting an efficient and productive clinic. Assists Physicians with examinations, testings, treatments and administrative duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Updates and communicates pod policies and procedures to clinical staff.

  • Acts as a liaison between Clinical Operations Manager and the clinic staff.

  • Provides input to Clinical Operations Manager to improve clinic efficiency and productivity.

  • Assists the Clinical Operations Manager in the training and evaluating of clinical staff. Provides input to Clinical Operations Manager for employee review.

  • Monitors clinical staff for compliance with clinic policies.

  • Maintains team schedule for early and late evenings, as well as the lunch rotation, including themselves, on the early/late rotation (ex: if clinic typically has clinic hours after 5:00, the Lead should be on the schedule for at least one late night), to ensure efficient clinic flow.

  • Monitors team hours to minimize over time and make changes to the schedule as patient flow allows, communicating to the Clinical Operations Manager when appropriate.

  • Maintains knowledge of all aspects of the clinic, such as front desk, medical records, surgery scheduling, and Call Center for coordination purposes.

  • Oversees maintenance and calibration of equipment and report status or issues to Clinical Operations Manager.

  • Completes tasks requested by Physicians and delegates as appropriate.

  • Attends regular Lead Technician meetings, and individual meetings as required.

  • Coordinates patient information such as dismissals, no shows, returning calls and STAT messages, missing encounters, etc.

  • Assists in triage for all patient calls and walk-ins (go to person on the team).

  • Responds to NextGen tasks within expectations.

  • Portrays a positive image with all HEC staff and doctors and promotes excellence in customer service.

PREFERRED QUALIFICATIONS:

  • Certified Ophthalmic Assistant certification; prefer COT.

  • Efficiently perform-work ups, scribing, and maintain a consistent flow of the clinic.

  • Ability to lead and provide guidance in all situations.

  • Thorough knowledge of NextGen and impact of data entered.

  • Strong organizational and time management skills.

  • Excellent communication and interpersonal skills required
