Join our new state-of-the-art Labriola Innovation Hub at Colorado School of Mines as a Program Coordinator to lead and support student design and prototyping activities and programs and provide logistical and administrative support for the Labriola Innovation Hub.

Reporting to the Labriola Innovation Hub Operations Manager, the Program Coordinator will work in conjunction with the Director, Shop Manager, and Operations Manager in planning and coordinating strategic objectives to achieve the goals of the Labriola Innovation Hub in supporting student learning and use.

The Program Coordinator is responsible for creating and supporting program operations including but not limited to (a) creation and management of Prototyping Fund application, promotional materials, operation, and workshop support; (b) supporting the development of technical, design, and creative workshop content available to all Mines students in collaboration with InnoHub team and campus partners; (c) managing and tracking student user training and space access; (d) processing the recruiting, hiring and training of student staff and supervising the administrative student staff team; and (e) supporting the Director and Managers in meeting coordination and follow-up, fundraising efforts, events, and promotion of the Labriola Innovation Hub. The ideal candidate will be passionate about supporting hands-on, project-based learning through the Labriola Innovation Hub programs and resources and will be excited to support and work with students. The ideal candidate will have excellent organizational skills and administrative support experience that includes events planning, budget management, student management, contract management, computer skills, design thinking skills, and marketing and communications.

PRIMARY RESPONSIBILITIES

Innovation Hub Student Programs & Operations Support:

This position will implement and supervise student programming in the InnoHub, partnering with the Operations and Shops Managers to support program and content development, workshops and events, building and makerspace operations, and administrative functions. Essential functions include:

  • Oversee logistic operations for the Prototyping Fund program to support student projects at all levels, including managing applications and review processes in coordination with the Director and Managers; supporting purchasing and managing financial distributions and reimbursements; creating annual reports; managing the end-of-semester project showcase; and supporting workshop development and associated events

  • Coordinate with campus partners including student clubs, SAIL, SURF, PASCAL/VIP offices, industry connections, and E&I partners to schedule, support, and promote workshops on design content and Labriola InnoHub resource usage opportunities

  • Oversee and manage Labriola skills workshops led by Labriola student TAs and other student users; support student TAs to develop relevant and engaging workshops; oversee workshop scheduling, promotion, and execution

  • Coordinate and support summer STEM programs in the InnoHub including space reservations, student staff scheduling, and development of content. Research already-existing STEM programs elsewhere on the Mines campus, and coordinate with Director, Managers, and academic department faculty on implementation.

  • Communicate updates on building activities and coordinate interdisciplinary activities with appropriate university, portfolio, and department counterparts

  • Manage Labriola conferencing spaces, atrium, and workshop space reservations in EMS

  • Serve as a Building Proctor to oversee and manage access to Innovation Hub controlled-access spaces through Area Access Manager

  • Support website creation and maintenance and oversee the student-led Innovation Hub newsletter and blog

  • Serve as the student TA staff hiring manager for the Innovation Hub. Set up and manage student TA contracts in Workday, including initial contracting and position termination. Coordinate onboarding of new student TA hires and update inclusive onboarding practices for student prototyping facilities. Supervise two to five administrative student TA staff per year. This requires up-to-date knowledge of all HR policies and procedures. Coordinate with Operations and Shops Managers to establish, oversee, track and update student staff work schedules.

  • Demonstrate knowledge of HR policies and procedures to ensure that student and employee contracts are accurately prepared and submitted in a timely fashion

  • Coordinate and support reporting for payroll, operating funds, lab fees, auxiliary funds, Foundation funds, and tech fee projects

  • Provide operational support and oversight for high-level events in the Innovation Hub

Innovation Hub Student Usage & Material Tracking and Prototyping Support:

This position will manage the machine and training reservation systems, develop and manage systems for material usage tracking and inventory, project storage systems and approvals, and support student project prototyping. Essential functions include:

  • Support the Innovation Hub student prototyping facilities and administrative functions. Support the Operations and Shops Managers to create, implement and update building safety policies and procedures. Support the creation and implementation of makerspace machine training in collaboration with Director, Operations and Shops Managers, and student TA staff. Coordinate implementation of Canvas instructional modules and track student participation across all student prototyping facilities. Develop a system to identify student user access to prototyping facilities upon their completion of safety training for each facility.

  • Develop and oversee material stock and machine usage tracking systems. Lead day-to-day management of the InnoHub Canvas page and Youcanbookme reservation system for scheduling training sessions and machine usage time.

  • Support budget tracking for all consumables and materials; purchase materials and submit expense reports on a consistent and timely basis

  • Facilities management: support administrative and renovation needs relating to teaching, office spaces, student classrooms, conference rooms, and related facilities.

  • Develop and manage facility-wide project storage system for student teams. Oversee locker installation and usage requirements, allocation and tracking. Coordinate with Director, Managers, and campus partners such as student life, SAIL, the McNeil Center, the Beck Venture Center, academic departments, and others as needed to prioritize, communicate, and manage student team storage across the Labriola Innovation District.

Minimum Qualifications

Education and Experience:

  • Bachelor's degree

  • Advanced administrative experience related to overseeing student contracts, project and program management and operational support

  • Experience with developing, monitoring and managing budgets, resource management, and financial tracking

  • Evidence of teamwork experience and relationship building

  • Experience designing, implementing, and/or using inventory tracking systems

  • Event planning experience

  • Project management experience

Knowledge, Skills, and Abilities:

  • Experience with Canvas or other Learning Management Systems

  • Excellent oral and written communication skills

  • Critical thinking and creative problem-solving skills

  • Attention to detail and accuracy

  • A commitment to creating inclusive and welcoming environments for student learning

  • Ability to effectively communicate verbally and in writing with faculty, staff and students on a variety of topics

Preferred Qualifications

Education and Experience:

  • Evidence of educational program development, student staff management and partnership development

  • Experience in higher education

  • Experience with Arduino, CAD/CAM software, Adobe suite, and other design tools

  • A demonstrable commitment to promoting and enhancing diversity of perspective

Annual Rate and Benefits

$67,000 - $73,000
