PMA's primary purpose is to negotiate and administer labor contracts with the International Longshore & Warehouse Union on behalf of the Association's member companies, as well as administrating payroll and certain benefits. Our headquarters and administrative office is located in San Francisco, California, with area offices in Southern California (Long Beach and satellite offices in San Diego and Port Hueneme) and the Pacific Northwest (Portland, Oregon and Seattle and Tacoma, Washington) in addition to Northern California (Oakland).

SUMMARY

The Labor Relations Coordinator reports to the Area Assistant Director and works in collaboration with the Southern California Labor Relations team.

The role provides administrative support on a variety of Labor Relations programs including the Tool Voucher Program, availability reports, the research of pay claims and the handling of confidential medical documents. The role will work heavily in PMA systems including Oracle and the document management system (DMS). Must be proficient with Microsoft Office Suite.

Job Duties and Responsibilities

  • Helps to manage the Southern California Tool Voucher Program, including processing invoices and data entry.

  • Handles the recording of sick leave in PMA's systems and follows protocols for recording Covid sick leave. Handles contract tracing when appropriate.

  • Handles minimum work availability reports for union locals for Southern California, including pulling reports, researching supporting documentation in electronic personnel files, and data entry.

  • Handles confidential documents including medical documents for the longshore workforce, COD's and USERRA referrals. Saves documents in appropriate areas of DMS.

  • Provides research on pay claims, including discrepancies on the longshore pay programs. This may include the Clerk Travel Pay eligibility and dispatcher overtime claims.

  • Oversees, with Labor Relations team support, the Southern California ADA Labor Relations Committee on behalf of PMA

  • Attends and assists in other routine Special Labor Relation Committee (LRC) meetings including casual appeals, casual processing, Longshore registration programs, such as the Child of Deceased (COD), Registration, availability, and prepping minutes.

  • Handle the processing of the Clerk Turnaround report.

  • Assist with Casual and Class B Processing including the coordinator of new hire events, putting together new hire packets, and coordinating with training to ensure proper testing is in place for new hires.

  • Handles 9.41 complaint processing, including running reports, cross-referencing resulting payroll data against personnel information, and drafting and submitting employer complaints for processing and distribution.

  • Function as a backup on dispatcher payroll.

  • Function as a backup for special grievances.

  • Reviews meeting minutes for the LRC's and helps to ensure the timely and successful completion.

  • Helps the Southern California Labor Relations team with their expense reports.

  • Other projects as assigned.

EDUCATION AND/OR EXPERIENCE

  • A bachelor's degree from a four-year college or university is preferred. A minimum of two+ years in an office environment.

  • High computer proficiency in standard software packages: Microsoft Office Suite: MS Word, MS Excel, MS PowerPoint.

  • Strong skills in working with databases such as Oracle.

  • Strong interpersonal skills and demonstrated integrity to handle sensitive and confidential situations. Able to work with minimal supervision in a team-oriented environment. Requires initiative and a pro-active approach to job responsibilities and must be deadline oriented.

  • Excellent communication and organizational skills; must be capable of managing in a timely manner, a myriad of complex tasks/assignments simultaneously.

  • Strong client service, teamwork, and collaboration skills.

  • Some analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems and prioritize work.

  • Excellent organizational skills required.

  • Must have a car and have a valid drivers license and auto insurance.

WORK ENVIRONMENT

This position works with a labor relations team in Oakland. Travel required to outside work sites. Hybrid schedules are allowed with the ability to work from home as appropriate.

PHYSICAL DEMANDS

The physical demands described are representative of those in a typical office setting. Sitting and typing at a computer for several hours per day is required. The position requires the ability to drive to various office locations, including the dispatch hall. Must be able to lift 5 pounds. COMPENSATION AND BENEFITS

PMA offers excellent benefits: PPO and HMO options with Blue Shield and Kaiser with no employee contributions. PMA offers a defined contribution plan (401K) with a competitive discretionary employer match that equals 100 % of the first 5% and 50% of the next 10% of eligible pre-tax contributions. In addition, PMA provides tuition reimbursement, company-paid conferences, and certifications.

Additional compensation includes a discretionary bonus and auto allowance.
