Job Responsibilities This is a management level position that reports to the Facilities Operations & Landscape Manager for the Rancho Santa Margarita Landscape and Recreation Corporation. The Assistant Beach Club Manager provides support to the Facilities Operations Manager and account through ensuring that the Beach Club Lagoon and Community Pools are appropriately staffed and all associates and vendor staff are attentive and responsive to resident needs. Additionally assists in planning, organizing, directing and managing the operations and maintenance of park, aquatic and lake facilities; provides administrative and technical direction to staff, in accordance with SAMLARC guidelines, policies and procedures. This is a full time role hourly requiring a schedule of Wednesday through Sunday 8a-5p. Essential Duties & Responsibilities In addition to all other duties and responsibilities described within the generic job description for Facility Manager, the following specifically apply to this position. Other duties may be assigned. Coordinate, Supervise, and Administer all Facility Usage * Train and supervise staff to consistently demonstrate outstanding customer service including greeting every guest when they enter the Beach Club facility. * Visit with members and guests to make certain their needs are being met and they feel valued. * Respond to homeowner inquiries regarding facility usage. Provide written information and tours of Beach Club facilities. * Ensure that staff is aware of and enforces the facility rules in a polite and consistent manner. * Manage and promote the Beach Club facilities and recreational equipment rentals. * Maximize safety of the facilities. Prepare, review and approve the division's monthly safety reports. * Ensure the facilities and restrooms are in excellent condition. * Ability to respond effectively to sensitive inquiries or complaints. * Coordinate security and law enforcement as necessary. * Ensure management of the daily operations of the Beach Club and related areas. Administrative * Positive client relationships with the board of directors (SAMLARC and sub-associations); client relationship with outside entities such as the City of Rancho Santa Margarita, County of Orange and its departments, Orange County Fire Authority, Orange County Sheriff's Department, Santa Margarita Water District, San Diego Gas and Electric and Chamber of Commerce. * Work in conjunction with the Facilities Operations Manager for Board packet agenda items and compilation. Prepare complete and accurate Board Reports and associated exhibits. Attend Board meetings and present reports as appropriate. * Prepare quarterly usage reports for the Board of Directors as follows: vandalism, usage, closures, and maintenance and/or repair projects. * Coordinate with and provide input into the annual Reserve Study as it relates to park facilities. * Share responsibility for the operational aspects of Community Lifestyle events and programs. May assist in the planning and implementation of Community Lifestyle programming. * Coordinate and attend designated meetings and functions as requested. * Recommend policies, guidelines and appropriate service levels to Facilities Operations Manager. * Participate in the process of developing short-term and long-range plans. Develop recommendations for goals and action plans to achieve Community objectives. * Participate in the development and monitoring of the annual budget. * Assures effective and efficient use of budgeted funds, personnel, materials, facilities, and time. * Review organization structure, job descriptions, and functions as it relates to the Operations Division. Make recommendations as to any potential changes. * Recruit, hire, train and supervise direct reports in accordance with the documented management plan. * Knowledge of all Community Governing documents including CC&Rs, By-laws, Architectural Standards and Policies and Guidelines. Fiscal * Responsible for all monies collected and deposited on behalf of Beach Club facility operations. * Monitor and track petty cash expenses, request and cash reimbursement checks. * Verify and approve non-routine service invoices for payment subject to established budget guidelines. * Assist in preparing and monitoring the annual budget for facilities operations. Facility Maintenance * Recommend and/or plan, direct and coordinate the alteration, repair, and maintenance of buildings, grounds and aquatic facilities. * Coordinate with the Facilities Operations & Landscape Manager for the walkthrough process of all park facilities and to ensure that vendors are servicing facilities in accordance with contract and budget guidelines. * Verify completion of the monthly maintenance calendar. * Provide input to Facilities Operations Manager regarding changes in maintenance, repairs, purchases or policies that may decrease liability or enhance homeowner satisfaction. * Develop and recommend long-range operations and maintenance programs. * Manage, create and maintain maintenance and project schedules. * Recommends the use of vendors for maintenance service, repair and refurbishment projects. * Ensure that the vendor Score Card System is performed on a regular schedule. * Research new products, processes, equipment and vendors; identifies and coordinates the purchases of all required project and repair materials. * Maintain effective relations with vendors, other agencies and members; respond to inquiries utilizing FirstService Residential standards * Maintain records of on-site work orders, projects scheduled and all phases of project work. Ensure that work orders are being generated to correct any issues identified during the inspection. * Monitor and update operational manuals and related policies and guidelines. Additional Duties & Responsibilities * Practice and adhere to FirstService Residential Global Service Standards. * Conduct business at all times with the highest standards of personal, professional and ethical conduct. * Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies. * May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines. * Ensure all safety precautions are followed while performing the work. * Follow all policies and Standard Operating Procedures as instructed by Management. * Perform any range of special projects, tasks and other related duties as assigned. Supervisory Responsibility * Supervise and train all onsite associates as necessary; monitor sub-contractors in the areas of performance, contract compliance, work orders, supply purchases, safety and security. * Prepare and/or oversee the preparation and conduct of all performance reviews as required * Enforce all applicable safety, health and environmental regulations. * Supervise and/or oversee the supervision of contractual agreements with vendors and contractors. * Ensure, receive and approve service requests and related work orders, in accordance with established procedures. * As a senior leader on the team, may be called upon to lead the team in the short term absence of the Facilities Operations & Landscape Manager. Education & Experience * Bachelor's Degree in Park and/or Recreation Administration preferred * Five (5) years of increasingly responsible experience in aquatic facility maintenance, property management or trades work including at least three (3) years of supervisory experience; or an equivalent combination of education and experience. Knowledge, Skills & Proficiencies To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Regular schedule is Saturday through Wednesday, dependent on company need and workload. There are occasions when it is necessary to work various holidays, community events and weekends. Attendance at evening meetings required. Hours over and above 40 per week will occur. As an exempt status employee the candidate is required to be available via cell phone for emergencies. * There are times when employees may be required to work hours outside of, or in addition to the scheduled working hours. Supervisors schedule according to the needs of the client and provide as much notice as possible whenever there is a requirement to reschedule.
