Summary

Under general supervision, the Justice Clerk performs a variety of administrative and accounting support functions for a Hays County Justice of the Peace. The work involves preparing and processing forms and orders involving the filing and disposition of various small claims and civil claims, and criminal and traffic cases, as well as accepting cash and checks and issuing receipts daily.

This position may also encompass the duties of a court clerk as needed. This Justice Clerk affects the accuracy, reliability and acceptability of further processes and services and serves a fast growing and large population in a high-volume office.

Responsibilities

  • Performsand processes a varietyofofficial documents such as citations, judgements, warrants, complaints, affidavits, routine reports. subpoenas, notices, jury lists, and form letters.

  • Maintains courtdockets;setscourt dates, hearings,andtrials,including jurytrials.

  • Coordinates court dateswith attorneysandlaw enforcement officials.

  • Assists the Judgeincourtroom by providing information and ensuring information is accurate for cases.

  • Collects fines andissuesreceipts.

  • Enters case records and orders into computersystem.

  • Preparescase filesfor court hearings by preparingjudgments,warrantsandcomplaints.

  • Performs andassists in the training ofemployeesin proceduressuch as preparingand processing forms and ordersinvolving thefilingand disposition of civilclaims, and criminaltraffic cases.These casesmay include hot check cases, nuisance violations, evictions, animal control,classcassaults cases, occupationallicense hearings,juvenile/parent violations andschooltruancycases.

  • Accepts and records pleas.

  • Performstransactions relatedto citations,warrants, pleas,magistrate's orders,andtime-servedrequests.

  • Managesacash drawerathigh-volumewindow, balances drawerandpreparesdeposits.

  • Approvesinstallment payment agreements basedonestablishedcriteria.

  • Receives and processes paymentoffees/fines,issues receiptsand recordsdispositions.

  • Assists customersinperson and onthe telephone, explaining procedures, fines, andforms.

  • Prepares and transmits documentation to recallwarrants and disseminatesnotifications.

  • Approves and provides required information for defensive drivingcourses.

  • Receivesandprocessescitations from law enforcement officials and agencies.

  • Preparesandsends formletters.

  • Servesasliaisonorprimarypointofcontactwithdefendants,plaintiffs,judges,courtpersonnel,constableofficers, attorney's,county and district attorney offices andlawenforcementsagencies.

  • Assists Judge with inquestinquiries fromfuneralhomes,medicalexaminers,tissue/organs businesses, families,andofficers.

  • Processesevictions,smallclaims,debtclaims, writs,motions,subpoenas,orders,judgments,andabstract judgments.

  • Performsreceptionist duties, which involvesgreeting customer,answering telephone,respondingtoinquiries,takingmessages,andmaking appointments.

  • Performsroutine office dutiessuchas notarizingdocuments,witnessingsignatures on oaths and affidavits,copying,

  • andfiling and maintaining documents.

  • Performs other duties as assigned.

Education and/or Experience

Anycombinationofexperienceortrainingmaybesubstitutedonayearforyearbasis.

  • RequiresHighSchoolDiplomaorequivalent.

  • Requires three years as a county court clerk or related experience.

Other Qualifications, Certificates, Licenses, Registrations

  • Court Clerk Certification received through Texas Justice Court Training School preferred.

  • Preferbilingual(SpanishandEnglish).

  • Ability to obtain

NotaryPublicCertification.

  • Ability to maintain continuing education requirements for the State of Texas.
