About this Role

iRhythm is looking for a talented professional to help make sure that our Cypress, CA manufacturing facility runs smoothly, from warmly greeting arriving employees and visitors to supporting the management team both day-to-day and in planning special events.

  • Be first point of contact for all visitors and customers

  • Ensure smooth operation of the Orange County office

  • Assist with daily office projects, including but not limited to: copying documents, filing, coordinating company events, managing office and break room supplies, sorting mail and distributing to employees

  • Help manage office events and corporate training meetings including supply management, set-up and catering of meals

  • Coordinate building management and facility maintenance (call in/schedule repairs, service requests, etc.)

  • Assist with projects for other teams and members of the office as well as special projects from time to time

  • Work flexibly, supporting and participating in any other tasks as directed by the Senior Director, Manufacturing or the management team

  • Maintain and allocate stocks of office supplies and snacks including sourcing of competitive suppliers, and creating spreadsheets of stock inventory to more effectively manage office supplies

About You:

  • High school diploma or equivalent; college degree preferred

  • 2 or more years of related experience

  • Excellent organizational, written, verbal, communication and customer service skills

  • Demonstrated ability to handle multiple projects and details simultaneously

  • Ability to manage a multi-line phone system

  • Detail-oriented and able to follow directions

  • Must be willing to take on all manner of assignments, be flexible and a team player

  • Proficient with Microsoft Office programs (primarily Word, Excel, Outlook)

  • Ability to handle a fast-paced growth environment

VIEW JOBS 1/29/2020 12:00:00 AM 2020-04-28T00:00 POSITION SUMMARY: This position is responsible for data entry and management, training activities, purchasing activities, and supporting day-to-day operation of Purchasing & Administration section of Strategic Planning and Sourcing Department under limited supervision. The essential functions of the position include, but are not limited to the following: * Review the contract and ensure the accuracy on data entry requests. * Enter/Edit project contract data or other project related data into the database systems. * Enter the details of new construction projects' budget into database systems. * Maintain and ensure the job closing status, project contract status and other key data on the database systems are current and accurate. * Prepare and distribute monthly reports, and assist in the development of customized reports per direction from the manager. * Maintain and update the data entry request forms as needed. * Plan and provide trainings to the requestors. * Review freight, IDESA materials or other invoices and prepare for the approvals. * Create and distribute purchase orders and place orders to the vendor per request bases. * Track the assigned project schedules in order to make the best judgement regarding when to place orders for required materials on timely manner. * Update Local Parts Tracking Forms to ensure the timely purchases on assigned OEM Traction and Escalator projects. * Resolve the problems with the vendors regarding: material defects, delivery shortage, invoice discrepancy or others. * Ensure ITGC related documents are current and accurate, and prepare for the audit activities. * Maintain the purchase order, ICFR related documents or other files. * Provide support to the Manager and Assistant Manager as needed. * Provide other administrative support, which include but not limited to; answering phone inquiries, sending out mails, reproduce manuals, arranging meetings. The non-essential functions of the position include, but are not limited to the following: Perform other job function as assigned.
